Job summary

We’re looking for an administrator to join our friendly Children’s Therapy Service. This part‑time role is key to helping the team run smoothly and ensuring families receive the support they need without delay.

You’ll provide vital secretarial and admin support, from managing waiting lists and booking initial appointments, to liaising with families, schools, GPs and colleagues across the Trust.

Key details
  • Part‑time, 4 days per week – flexible hours beginning or ending the week.
  • Patchway Locality Hub, Southmead House (BS10 6BQ) or Osprey Court (BS14 0BB).
  • Typical hours: 9:00 – 17:00.
Responsibilities
  • Provide a comprehensive administration service to support the day‑to‑day running of the service.
  • Act as a contact point and liaise with patients and staff across the Trust over the telephone and face to face.
  • Maintain and monitor the waiting list at the direction of the Head of Therapies/Service Manager, sending out acknowledgement letters to parents and making initial appointments for joint assessments.
  • Ensure all clerical activity is recorded accurately for activity purposes in a timely manner using the EMIS IT system for registering and discharging referrals and recording clinical outcomes.
  • Order stationery and office supplies.
  • Assist with data collection and data management.
  • Photocopy, file, email and other administrative duties.
  • Organise interpreting services prior to patient/carer appointments when requested.
  • Deal with centralised emails on behalf of the service.
  • Maintain a high standard of confidentiality adhering to the Trust Data Protection policy.
  • Undertake training as and when necessary.
  • Work across CCHP as required.
  • Flexible approach and undertake any other duties appropriate to grade and needs of the department/wider team as agreed between the post holder and the Admin Manager.
Qualifications & Training
  • Good standard of education at GCSE level (9-4/A-C) including English language and Maths or equivalent.
  • Knowledge of patient administration systems such as EMIS, Microsoft and Power BI (desirable).
  • RSA 2 standard or equivalent (desirable).
  • NVQ 2/3 in Business Administration (desirable).
Skills, Knowledge and Experience
  • Previous administration experience dealing with telephone enquiries, correspondence, and office administration.
  • Experience and understanding of dealing with sensitive and confidential information.
  • Ability to maintain relevant records and information systems.
  • Understanding of Equality and Diversity policies (desirable).
  • Knowledge and awareness of Health & Safety (desirable).
