Job summary

Police Scotland is seeking a proactive and highly organised CFO Portfolio Secretariat Manager to support governance, planning and secretariat arrangements across the Chief Financial Officer Portfolio. You will ensure timely, high-quality input to internal and external committees and boards, coordinating actions and forward planning across the Portfolio.

Qualifications

  • Experience designing and managing committee secretariat processes.
  • Ability to coordinate across CFO Portfolio and support senior governance activities.
  • Proven track record in maintaining high-quality board/committee papers and action tracking.
  • Line management of a Secretariat team and support to governance meetings.

Responsibilities

  • Design, develop and manage effective committee secretariat processes across CFO Portfolio service areas.
  • Oversee systems that support appropriate membership of working groups and committees, ensuring actions are managed and communicated effectively.
  • Prepare, collate and quality assure board and committee papers, including covering papers where required.
  • Coordinate actions from internal and external meetings, ensuring they are directed appropriately and responded to within agreed timescales.
  • Lead wider CFO Portfolio support, including FOI coordination, internal communications, intranet updates and project support.
  • Manage the CFO Portfolio Support mailbox, ensuring requests are prioritised, progressed and escalated where appropriate.
  • Line manage and support the team delivering secretariat support to divisional and portfolio governance meetings.

Police Scotland is seeking a proactive and highly organised CFO Portfolio Secretariat Manager to play a key role in supporting effective governance, planning and secretariat arrangements across the Chief Financial Officer Portfolio. This is a varied and influential role, working across the CFO portfolio. You will ensure timely, high-quality input to internal and external committees and boards, coordinating actions and supporting proactive forward planning across the Portfolio.

Key Responsibilities:
  • Design, develop and manage effective committee secretariat processes across CFO Portfolio service areas.
  • Oversee systems that support appropriate membership of working groups and committees, ensuring actions are managed and communicated effectively.
  • Prepare, collate and quality assure board and committee papers, including covering papers where required.
  • Coordinate actions from internal and external meetings, ensuring they are directed appropriately and responded to within agreed timescales.
