Position: Central Operations Manager
Location: Worthing, West Sussex
Contract: Full time, Temporary – 9 Month fixed term contract / Maternity Cover
Salary: Up to £40,000 per year (pro rata) plus a £5,000 performance-based bonus (paid annually – pro rata depending on length of contract)
Reporting: Led by Kim; oversees daily operations for the Field Support Team (Emily, Abbie, Tara, Issy) and the Resource Planner (Becca).
Overview: The role involves ensuring the efficiency and effectiveness of daily field team operations, remote workforce scheduling, and business processes. You will manage the support desk for a remote workforce, ensuring seamless communication, timely responses, and cross-team collaboration to maintain an excellent standard of care.
Your day-to-day duties
- Design, implement, and continuously review operational policies and procedures to improve efficiency and productivity.
- Lead and oversee daily operations across multiple service areas, ensuring processes are efficient, well-coordinated, and compliant.
- Manage and support a diverse team, including remote and field-based staff, fostering accountability, collaboration, and continuous improvement.
- Monitor KPIs and quality metrics to identify trends, drive improvements, and ensure services remain well-led and person-centred.
- Collaborate cross-functionally with clinical, administrative, and compliance teams to align with strategic goals and regulatory requirements.
- Ensure compliance with relevant regulations and standards.
- Identify and mitigate operational risks; maintain incident reporting, risk assessments, and contingency planning.
- Champion continuous improvement initiatives and promote quality assurance and innovation in service delivery.
- Prepare and present operational performance reports to senior leadership, highlighting achievements, risks, and improvement plans.
- Implement and manage tools and technologies to facilitate remote work and effective communication.
- Develop strategies to engage and motivate remote employees, fostering a positive and productive work environment.
- Resolve remote work challenges, including technology access, communication barriers, and service continuity issues.
- Ensure field support coverage 7 days a week, from 6am to 10pm, to uphold safe and responsive care delivery standards.
- Develop and implement resource planning strategies to optimise allocation of resources across the national team of over 140 staff.
- Forecast future resource needs and align workforce planning with business growth and project timelines.
- Maintain and optimise resource planning systems; ensure data accuracy and usability.
- Provide training and guidance on resource planning tools and processes to promote consistency and capability across teams.
- Prepare and present regular reports on resource utilisation and planning to senior management.
- Monitor and analyse resource utilisation to identify areas for improvement and ensure efficient use of resources.
- Participate in the on-call rota, providing operational leadership and support outside of standard working hours.
Hours and working pattern
- 37.5 hours per week
- Hours may fall between 6am and 10pm on any day; schedule varies by requirements
- On-call hours required on a rota basis
- Hybrid working – 2 days per week in the office (Tuesday and Wednesday)
- Full-time, temporary Maternity Cover contract – minimum 9 months with potential extension
Requirements
What we need you to have
- Minimum 2 years’ experience in a senior operational leadership role with strong people management and service delivery oversight
- Proven ability to lead geographically dispersed teams, including remote and field-based staff
- Exceptional communication and stakeholder engagement skills; ability to influence, negotiate, and build collaborative relationships across levels
- Advanced planning and organisational capabilities; experience managing complex, multi-site operations and resource allocation
- High-level analytical skills; ability to interpret data, identify trends, and drive evidence-based decision-making
- Resilient and solutions-focused; able to manage competing priorities and maintain service continuity under pressure
- Confident and professional communicator, with strong written and verbal skills
- Proficient in Microsoft Office and operational systems, including resource planning tools and performance dashboards
- Accountable and dependable with a strong sense of ownership and responsibility for outcomes and team performance
What we’d like you to have
- Experience in resource management or workforce planning within a healthcare or service-based environment is desirable
- Knowledge of digital tools that support remote work, operational efficiency, and team collaboration
- Experience contributing to CQC inspections or audits with understanding of regulatory expectations and evidence gathering
