Responsibilities

  • Ensure the provision of the reception service, by email or by telephone.
  • Resolving problems as they arise.
  • Maintaining and updating computer records for various divisional functions.
  • Liaison with external agencies.
  • Ensure the maintenance of administrative/financial records.
  • Undertake team briefings as necessary.
  • Ensure hospitality for visitors and meeting room preparation.
  • Arrange divisional meetings and take minutes.
  • Attend EHCP panels and update systems.
  • Act on emails received in the Tribunals and Mediations inbox.
  • Order and maintain a range of supplies.
  • Process letters, book meetings, and distribute post.
  • Continue to develop own skills by attending training courses.
  • Liaise with parents/carers, schools, outside agencies, and the general public.
  • Organize and prioritize own workload to meet deadlines.
  • Comply with the Support Staff Handbook.
  • Follow instructions of the Business Manager or line manager.

ThislistindicatesthescopeofresponsibilitiesforBusinessSupportOfficerswithintheteam.Eachbusinesssupportofficerwithintheteamwilldoanumberofthetaskslistedandtasksmaychangeovertime.

Administrative
  • Ensuretheprovisionofthereceptionservice,byemailorbytelephone.
  • Resolvingproblemsastheyarise.
  • Maintainingandupdatingcomputerrecordsforavarietyofdivisionalfunctionsincludingpupil/childdatabaserecords.
  • Liaisonwithexternalagencies.
  • Ensurethemaintenanceofadministrative/financialrecordssupportforthebusinessfunctionoftheBusinessSupportTeam.
  • Undertaketeambriefingsasnecessary.
  • Ensuretheprovisionofthehospitalityforvisitorsandmeetingroompreparation.
  • Arrangingdivisionalmeetings,distributingmeetingpapers,attendingdivisionalmeetings,takinganddistributingminutes.
