Senior Business Support Assistant – Community Mental Health (NHS Greater Glasgow & Clyde)

Job Details

Location: Rossdale/Leverndale, NHS Greater Glasgow & Clyde
Employment type: Permanent (Full Time)
Salary: Band 4 (£30,353 – £33,016)
Hours per week: 37
Shift pattern: Monday – Thursday 09:00 – 17:00, Friday 09:00 – 16:30

Responsibilities
  • Provide comprehensive secretarial and administrative service to managers and clinical team leaders.
  • Act as the first point of contact for those wishing to contact the manager or team members.
  • Respond to routine mail on behalf of manager, or draft more complex correspondence.
  • Respond to personal and telephone enquiries regarding complaints, and redirect to other staff where appropriate; arrange for accurate and timely messages to be conveyed to manager.
  • Provide information and advice to patients and others on NHS complaints and feedback arrangements, and assist others to record their complaints/feedback when required.
  • Type a variety of documents ( correspondence, reports, statistical and financial data, presentations ) from diverse sources with a high degree of accuracy, including data extraction from spreadsheets and production of complex reports.
  • Collate information from a variety of sources for input to reports and returns.
  • Forward plan diary commitments, ensuring effective use of managers' time and resolving conflicting demands.
  • Assist in arranging a variety of meetings, events and conferences under direction.
  • Ensure that managers are provided with all relevant papers for meetings in a timely manner.
  • Attend meetings, make necessary arrangements (venue, room layout, participant notification), issue agenda and supporting papers, write minutes, transcribe and distribute minutes, and progress follow‑up action.
  • Meet and welcome visitors and arrange appropriate hospitality.
