Business Support Assistant

Location: County Hall, Usk, NP151GA

Start Date: ASAP

Contract Duration: 5+ Month

Working Hours: Mon - Fri, 09:00 - 17:00, 37 Hours per week

Pay Rate: £13.69 per hour

Job Responsibilities
  • Manage incoming and outgoing correspondence efficiently, including letters, emails, and verbal communications.
  • Organize and store information correctly, ensuring proper file management.
  • Handle Data Protection Subject Access requests and requests from the Police.
  • Perform administrative tasks such as photocopying, scanning, printing, and booking rooms and transport.
  • Validate and update databases during system transitions.
  • Schedule meetings, manage diaries, and send invites and minutes.
  • Maintain supplies and stock control, such as stationery.
  • Conduct digital file audits to ensure proper documentation.
  • Set up new starter laptops and link phones according to guidelines.
  • Record and log equipment and resources as needed.
  • Handle petty cash and record transactions following procedures.
  • First point of contact for incoming calls, handle safeguarding referrals, and record contacts accurately.
  • Build trust through open communication and validate information using appropriate methods.
  • Troubleshoot issues and support colleagues in gathering customer feedback.
  • Create and maintain children’s records, ensuring compliance with guidelines.
  • Support and train colleagues on systems and processes.
  • Assist with recruitment, including arranging interviews.
  • Support staff development and assist with training.
Person Specifications
Must Have:
  • Recent and strong admin and IT skills.
  • Excellent attention to detail.
  • First-class phone manner and customer service skills.
  • Team player with a supportive attitude.
  • Can‑do attitude and resilience.
  • Flexibility to adapt to changing situations.
  • Access to a car and live within a 30‑minute drive of the office.
Nice to Have:
  • Experience with systems administration.
  • Knowledge of recruitment processes.
