Position Summary

We are currently searching for a Business Support Assistant to deliver high quality front of house service and business support coordination to ensure a professional, safe and well‑organised environment. In this role you’ll act as the first point of contact for visitors and staff in Perivale, supporting the Business Support Manager and Head of Facilities with administration processes and general support to the day‑to‑day running of the office.

Role and Responsibilities
  • Provide a welcoming, professional reception experience to visitors and employees
  • Manage the reception desk and visitor management system, Envoy
  • Handle incoming/outgoing mail, working with Despatch team on courier shipment and deliveries as required
  • Provide administrative support to Business Support Manager and Head of Facilities
  • Raise POs for Business LOBs as well as Facilities, track invoices for budgeting
  • Coordinate access passes and ensure compliance with site security procedures – access control arrangements.
  • Manage Facilities Inbox to ensure tickets and requests are assigned and tracked as Facilities work orders
  • Support documentation of incident logs and elevate issues to Head of Facilities and Business Support Manager
  • Support with client events and client meetings in primarily DH and otherwise as agreed and planned with Business Support Manager
  • Support Business Support Manager on staff event management
  • Work with Head of Facilities and Business Support Manager regarding catering and general food offering in DH
  • Support Flu clinics or other engagement coordination in Perivale
  • Work with Business Support Manager and Head of Facilities to ensure adequate Reception cover for absences
Key Requirements

The ideal candidate will have previous experience in an office environment, ideally related to administration or facilities management, as well as:

  • Strong organisational and multitasking skills – able to coordinate daily operations, events, and facilities efficiently.
  • Excellent communication and interpersonal abilities – comfortable engaging with staff, clients, and senior leaders.
  • Proactive and service‑oriented mindset – able to anticipate needs, resolve issues promptly, and maintain a high standard of workplace experience.
