Responsibilities

Business Support
  • Provide administrative support to Project Managers and Account Managers.
  • Manage the Business Support company mailbox, ensuring timely responses and task allocation.
  • Raise and issue purchase orders (POs) for contract labour, materials, and equipment, maintaining accurate expenditure records.
  • Liaise with stores to confirm receipt of ordered items within supplier or project timelines.
  • Schedule labour and issue job sheets for contracted works.
  • Confirm completion of work through direct communication with contract staff and review of returned job sheets.
  • Respond promptly to ad-hoc requests from PMs and Account Managers outside standard procedures.
  • Prepare and issue small quotes to clients.
  • Assist in preparing RAMS (Risk Assessments and Method Statements) for PMs and issue to clients.
  • Support PMs with large quotes, site drawings, and tender documentation.
  • Prepare and compile O&M (Operation & Maintenance) manuals.
  • Create and manage job files, ensuring all documentation is complete and up to date.
Additional Duties
  • Assist with Health & Safety documentation, including spreadsheet updates during consultant absence.
  • Arrange returns or repairs of faulty items with suppliers.
  • Provide first-line support for Security and Cabling callouts.
Office Support
  • Manage the company vehicle fleet via the Fleet Check portal.
  • Arrange vehicle repairs and maintenance bookings.
  • Assist with annual company insurance renewals
  • Handle stationery orders and office restocking, including refreshments and business lunches.
  • Organise inductions for new starters, including uniform and equipment distribution.
  • Act as key holder, manage petty cash, and handle incoming/outgoing post.
