Provide administrative support to the Brunel Medical School Director of Undergraduate Education (DUE) to enable the development, implementation and delivery of the undergraduate medical education training programme as part of the Brunel Medical School, hosted at the Royal Berkshire NHS Foundation Trust (RBFT).
Work collaboratively with the DUE, Medical Education Service Manager (MESM) and the Medical Education Manager (MEM) to ensure the Trust meets all contractual requirements and maintains a supportive learning environment for all Brunel Medical School Trainees.
Develop and Maintain effective and efficient systems and processes to ensure the Trust complies with both Educational and Corporate Governance frameworks for both the Trust, Brunel University and other external stakeholders.
Support the recruitment appointment, induction and on-going success of the Module Leads when developing, implementing and delivering clinical placements during Years 3-5 of the Brunel Medical School curriculum.
Engage with Brunel Medical School DUE and Module Leads to ensure that details of the education programme, student details and the timings of these are communicated clearly to all RBFT and Brunel University staff.
Liaise with MEM, MESM, and DUE to ensure adequate induction and training is provided for students at the start of each academic year, alongside efficient organisation of information technology (IT) and security access requirements.
Support the DUE to develop and finalise job descriptions Module Lead roles, collaborate with Medical Workforce to drive the recruitment process, including on the interview day and appointment into the roles.
Support the Module Leads to develop and promote effective training & development opportunities for the Brunel University medical students and support logistics to deliver the agenda requirements on the day.
Work with the MEM, MESM, and DUE to draft and finalise Medical Education Fellows job descriptions, advertise throughout the Trust and support Medical Workforce to recruit and appoint high calibre individuals into the roles.
Work with the Simulation and Resuscitation & Clinical Skills teams to arrange additional training opportunities for the Brunel Medical School students, as required, based on developing curriculum requirements.
Ensure there are robust performance monitoring systems in place to meet defined key performance metrics.
Liaise internally with Brunel Medical School in accordance with the Education Contract and Service Level Agreement ensuring compliance.
Manage very sensitive and confidential information about performance and change, particularly in relation to Students in Difficulty working with Senior Managers.
Establish networks and effective channels of communication within the Trust and Thames Valley region in support of delivering service objectives.
Persuade senior managers and medical staff of the importance of highly complex, emerging educational initiatives and policies.
Motivate senior colleagues on wider educational project delivery, particularly where there is strong resistance to change, providing workshops to large audiences, linking inter-related initiatives to provide maximum benefit and impact.
Regularly collaborate and engage with clinical and non-clinical staff to ensure they remain engaged in the vision to provide the best training experience for undergraduate students.
Develop comprehensive and accurate costing plans for all Brunel Medical School event / workshops / off‑site meetings, delivered internal and externally, ensuring financial balance is achieved as a minimum.
Actively manage event and project budgets, negotiating favourable costing plans as and when appropriate, to ensure the best use of the directorates finite resources.
Responsible for identification of savings associated with Brunel Medical School business and ensuring their achievement by employing appropriate negotiating skills with external service providers where possible.
Book suitable and appropriate venues and confirm financial requirements with relevant finance leads.
Responsible for the identification and ordering of appropriate training and development opportunities, including ensuring the specific budget requirements are met and all invoices and cross charges are completed in a timely and effective manner.
Responsible for ordering and maintaining Brunel Medical School supplies, ensuring consistency is maintained at a sustainable and cost effective level.
Act as a specialist in the field of Undergraduate Medical Education (UGME) with excellent communication and knowledge.
Utilise a wide range of effective communication skills in order to present complex and often sensitive information to large groups of consultants and stakeholders on a regular basis.
Carry out all duties involving contact with the public, students and other staff in a sympathetic, appropriate and professional manner.
