Job description
Operational Team Lead – Day‑to‑Day Administrative Leadership

The Operational Team Lead will provide day‑to‑day administrative leadership and support to the Specialist Orthotics and Amputee Rehabilitation Team, part of the Adult & Specialist Rehabilitation Division at the West Midlands Rehabilitation Centre.

Responsibilities
  • Coordinate, deploy, and supervise administrative staff delivering inventory, materials management, and operational purchasing services across defined areas of the Trust.
  • Collaborate with internal stakeholders, team colleagues, and external suppliers to ensure a responsive and professional service that supports high‑quality patient care.
  • Provide overall day‑to‑day supervision, performance monitoring, and support the development of administrative staff within the team.
  • Ensure administration staff deliver relevant, effective, and timely support, keeping patient pathways running smoothly.
  • Monitor waiting lists and RTT pathways on a daily/weekly/monthly basis, ensuring accurate and timely escalation processes to reduce or avoid breaches of targets.
  • Maintain robust data quality systems, regularly monitoring data to ensure it is accurately recorded, maintained, and updated in time to support KPIs and local requirements.
  • Actively manage sickness and absence within the administration team, including return‑to‑work meetings in line with Trust policy and local guidelines.
  • Utilise analytical skills to interpret and evaluate complex data sets from a variety of sources—including service performance reports, patient feedback, and operational metrics; prepare clear, concise, and accurate reports to support service reviews, audits, and performance monitoring; identify trends, variances, and areas for improvement, presenting findings to both clinical and non‑clinical audiences.
