Job Summary

We are looking for an enthusiastic, motivated person to join our nurse‑led, trust wide Tissue Viability service.

The post holder will provide secretarial support to the team. This will include minute taking, assisting in preparing reports, organising and preparing educational activities, supporting with the organising of audit and collating the data, managing and maintaining the referrals to the Tissue Viability service.

The post holder will deal with telephone enquiries and emails from wards, other departments and external contacts, receive sensitive and confidential information on a day‑to‑day basis, action queries and re‑direct calls as appropriate.

The post holder must be able to prioritise own workload, work using their own initiative and be able to communicate effectively with all levels of staff and other relevant personnel.

The post holder will be responsible for booking rooms and organising meetings both face to face and via Microsoft Teams, distributing agendas, minutes and booking representatives for meetings if appropriate.

The post holder will support the Tissue Viability Nurses to prepare resources and information for study days and trust wide education events.

A willingness to work on all Trust sites is essential.

Main Duties
  • Prepare letters, emails, reports and minutes of meetings, compile daily clinical spreadsheet
  • Provide excellent skills in receiving and dealing with telephone, email & written enquiries. Accurately record messages and other enquiries and refer on as appropriate
  • Arrange meetings and appointments both face to face or online
  • Maintain diaries as required
  • Be sympathetic and sensitive when communicating by telephone or face to face, including dealing with difficult situations
  • Attend relevant meetings. Contribute to building effective teamwork in exchanging views, ideas and communicating effectively
  • Make decisions and take actions within the team relating to routine enquiries, recognise situations that should be referred onto the supervisor and take prompt and appropriate action
  • Organise own day‑to‑day tasks showing an ability to prioritise to achieve set timescales
  • Undertake work that has been prioritised by the team
  • Book and monitor room bookings across multiple sites
  • Work collaboratively as part of an integrated team
  • Have a personal duty of care for all equipment and resources used
  • Maintain stock control of stationary and clinical supplies
  • Participate in the induction and training of new members of the team
  • Accurately input and access data using all Trust IT systems in a timely way
  • Ensure all information held is kept up to date and accurate, destroying confidential documents in line with Trust policy
  • Provide cover across all sites as required
