Honeycomb are delighted to be working with the Northern Health and Social Care Trust to recruit for a Band 3 personal secretary- temporary for 3 months initially in Ballymena.

Location: Community Mental Health Team, Ballymena
Organisation: Northern Health and Social Care Trust (NHSCT)
Department: Mental Health Services
Hours: Monday to Friday, 9:00am - 5:00pm
Contract: Temporary, Full-Time
Salary: Band 3 £12.31 per hour

About the Role

An exciting opportunity has arisen within the Northern Health and Social Care Trust for a motivated and professional Personal Secretary to join our Community Mental Health Team in Ballymena.

The successful candidate will play a key role in providing confidential secretarial and administrative support to senior members of the team, ensuring the smooth and efficient running of day-to-day operations within this essential community service.

Key Responsibilities
  • Provide a comprehensive secretarial service to senior clinicians and management within the Mental Health Team
  • Prepare correspondence, reports, and documentation to a high standard using Microsoft Office
  • Take, transcribe, and distribute minutes of meetings accurately and promptly
  • Manage electronic and paper diaries, scheduling appointments and coordinating team commitments
  • Respond efficiently to telephone calls, emails, and visitor enquiries
  • Support the collation and presentation of data, spreadsheets, and reports using MS Excel
  • Maintain confidentiality in line with Trust policies and data protection standards
Essential Criteria
Option 1:
  • 4 GCSEs (Grades A*-C) including English Language (or equivalent)
  • At least 1 year's paid clerical experience in an office environment including Microsoft Office
  • 1 years' experience of minute-taking (for certain roles)
Option 2:
  • English GCSE (Grades A*-C) or equivalent
  • At least 2 years' paid clerical experience in an office environment including Microsoft Office
  • 1 years' experience of minute-taking (for certain roles)

Experience must include:

  • Microsoft Office (Word, Excel, Outlook)
  • Diary management (manual and electronic)
  • Organisation and servicing of meetings
  • Collating, inputting, and extracting data

In addition, applicants must possess:

  • RSA/OCR Stage II Typing/Word Processing (both parts) or equivalent
    OR
  • 1 years' experience in the use of ICT systems including word processing, spreadsheets, and email
Skills and Knowledge
  • Excellent communication and interpersonal skills
  • Ability to prioritise workloads and meet tight deadlines
  • Strong organisational and time management abilities
  • Competent use of Microsoft Office applications
  • Understanding of confidentiality, data management, and patient information governance
  • Knowledge of Health and Social Care services and the role of a Personal Secretary
