AV Live Events Operations Coordinator

Location: Bristol and UK Nationwide

Reports to: Operations Manager / Managing Directors

£35,000 to £40,000 per annum

About the Client

The client is a Bristol‑based event production company specialising in staging, audio, lighting, and visual technology hire. With over 10 years of experience, the client provides high‑quality production services for festivals, corporate events, conferences and more.

Role Overview

The Live Events Operations Coordinator will be a central figure in planning, coordinating, and executing live events using the client's staging, audio, and lighting capabilities. This hands‑on role involves both behind‑the‑scenes operational work and onsite delivery, ensuring seamless execution from pre‑production through to event close.

Key Responsibilities
  • Event Planning & Coordination
    • Work closely with Production, Sales, and Operations teams to develop event plans
    • Coordinate logistics: crew, equipment, transport, site access, permits, and health & safety
    • Maintain and update event schedules, run sheets, and resource plans
  • Resource Management
    • Allocate the client’s staging, lighting, audio, and AV kit to events
    • Coordinate with technicians, freelancers, and subcontractors
    • Monitor inventory, ensuring all gear is ready, tested, and transported
  • On‑Site Operations
    • Act as a point of contact at event sites
    • Support setup, production, and strike phases
    • Troubleshoot technical or logistical issues onsite in real time
    • Liaise with clients, venue staff, and third parties to meet event requirements
  • Financial & Administrative Support
    • Help manage event budgets, tracking costs, and resource usage
    • Process purchase orders, invoices, and timesheets
    • Prepare post‑event reports, including debrief documentation and lessons learned
  • Health, Safety & Quality Assurance
    • Ensure all operations comply with health & safety standards
    • Collaborate with the team to maintain high‑quality production standards
    • Conduct risk assessments for each event and propose mitigation strategies
  • Continuous Improvement
    • Identify process inefficiencies and suggest improvements
    • Develop and maintain templates, checklists, and documentation for event workflows
    • Stay up to date with industry trends, technology, and best practices
Person Specification

Essential:

  • Experience working in live events, staging, AV, or production coordination
  • Strong project management skills, with excellent attention to detail
  • Excellent communication and interpersonal skills
  • Ability to work under pressure and problem‑solve in fast‑paced environments
  • Organisational ability, juggling multiple events/tasks simultaneously
  • Proficient in Microsoft Office (especially Excel), event‑management software, and scheduling tools
  • Valid driving licence (if role involves transport coordination)
  • Willingness to travel and work unsocial hours (evenings, weekends) as required

Desirable:

  • Knowledge of staging, lighting, and sound equipment
  • Understanding of health & safety in live events (risk assessments, CDM)
  • Previous experience in a technical production company or events supplier
  • Budgeting and financial reporting experience
