Job Summary

The Associate Director designs and implements comprehensive engagement opportunities for the Haverford alumni and family community that are seamlessly aligned with the College’s fundraising and engagement efforts. This individual is part of the Alumni and Family Engagement team (AFE) which sits within the Alumni and Constituent Engagement (ACE) department, alongside colleagues in Special Events and Volunteer Leadership Strategy.

The Associate Director of Alumni and Family Engagement (AFE) plays a key strategic role in overseeing large-scale on-campus signature events. This position is responsible for project managing major programs such as Move-In Day, Family and Friends Weekend, and Alumni Weekend.

Primary Responsibilities
  • In collaboration with the Director of Alumni and Family Engagement and the broader ACE team, design and execute programming and events—both in-person and virtual to strengthen alumni and family engagement, including developing new programs that authentically engage new and lapsed audiences
  • Lead the strategic vision, creative design, content creation, and project management of Move-In Days, Alumni Weekend and Family and Friends Weekend in partnership with colleagues across Institutional Advancement, leveraging divisional and departmental resources while ensuring alignment with campaign priorities
  • Manage all strategic and logistical aspects of multiple large scale programs including program design, budget development, and volunteer engagement strategies
  • Collaborate closely with campus partners including colleagues in Institutional Advancement, Student Life, Facilities, and the logistical support units to ensure seamless and well-aligned event experiences
  • Conceptualize innovative event experiences that foster a deepened sense of community, tradition, and pride among alumni and families
  • Provide strategic leadership for alumni affinity groups, managing one or two existing organizations and guiding alumni volunteer leadership to expand connections among alumni, students, and families. This may also include developing new affinity groups in collaboration with colleagues and alumni
  • Partnering with the IA Advancement Communications team, support select communication efforts, including implementing Family Communications strategies, ensuring large-scale program vision and marketing plans align, and participating in critical communication triage processes for Institutional Advancement
  • Design and implement targeted programs, communications, or events, that will (re)engage specific alumni and family cohorts, broadening representation and participation in existing initiatives and/or events
  • Collaborate with, and promote support for, Annual Giving and other Haverford philanthropic priorities, as well as serve a key role in Campaign engagement efforts as part of the ACE team
  • Act as staff representative at events as necessary, including during evening and weekend programs. This could be in attending events the Associate has planned, or by staffing events other colleagues within Institutional Advancement have coordinated
  • All specific projects/affinity group responsibilities are subject to change and may shift at any time due to evolving institutional priorities, staffing transitions or other reasons

Line of Report:The Associate Director of Alumni and Family Engagement reports to the Director of Alumni and Family Engagement.

Minimum Qualifications
  • Three (3) years of overall work experience
  • Experience in alumni and family relations, volunteer management, and/or program development
  • Effective communication skills, including proofreading and editing
  • Ability to work independently and as a member of a team, to prioritize work efficiently, and to meet deadlines
  • Ability to think strategically about opportunities for growth, advancement, and scaling of projects
  • Organized and detail oriented with the ability to carry out multiple activities and projects concurrently
  • Ability to work with confidential materials and situations with sensitivity, diplomacy, and discretion
  • Knowledge of and proficiency in Microsoft Office (Word, Excel and mail merge, PowerPoint) and Google Suite (documents, forms, sheets)
  • Confidence in maintaining electronic systems including but not limited to, the website, departmental calendars, AlumnIQ (event registrations), MailChimp and EMMA (email marketing), Raiser’s Edge (CRM database), Haverford Connect (networking platform), and social media
  • Proven success in leading large-scale multi-day events with attention to detail, creativity, and strong project management and budget forecasting skills
Preferred Qualifications
  • Knowledge of fundraising
  • Familiarity with a liberal arts setting
Special Requirements
  • Ability to work evenings/weekends as needed to perform the duties of the role
  • Ability to travel locally, regionally, and/or nationally as needed (<10%) with the possibility of occasional overnight travel
  • Possession of a valid U.S. Drivers’ License and ability to pass a Motor Vehicle Record check
