Education & Qualifications
- GCSEs or equivalent, including English and Maths (minimum).
- NVQ Level 2/3 in Business Administration (desirable).
- It would be an advantage if you had industry training or certification (e.g., Fire Safety Awareness, Electrical Safety admin courses) but this is not essential.
Experience
- 3+ years of administrative experience, preferably in a technical, engineering, or construction environment.
- Prior experience in the fire safety or electrical services industry (highly desirable).
- Experience coordinating service schedules, engineer diaries, and customer appointments.
- Familiarity with reactive maintenance, planned preventative maintenance (PPM), and compliance documentation is preferable. However coming from a similar environment would also be acceptable.
Skills & Knowledge
- Strong organisational and multitasking skills - the ability to manage multiple jobs, engineers, and deadlines.Proficiency in office software (Outlook, Word, Excel, Teams) is essential.
- Experience using industry-specific software (e.g., IBMS, Joblogic, Clik, or similar CAFM systems).
- Understanding of fire alarm, emergency lighting, and electrical testing processes and terminology (desirable).
- Knowledge of compliance documentation such as Fire Alarm Certificates, Electrical Installation Condition Reports (EICRs), etc.
Communication & Interpersonal
- Excellent verbal and written communication skills - professional and customer-facing.
- Confident liaising with clients, suppliers, engineers, and management.
- Ability to work under pressure, handle urgent requests, and prioritise effectively.
Leadership & Initiative
- Experience supervising or mentoring junior administrators (preferred).
- Proactive approach to problem-solving and process improvement.
- Capable of taking ownership of service coordination and ensuring high standards are maintained.

- Flexibility to support out-of-hours/emergency call-out coordination if required (optional based on role).
In this position the candidate will be working with the lead administrator coordinator and electrical contracts managers alongside a QS lead engineer assisting in the electrical fire contracts.
The candidate will also be involved with on-site and team meetings with clients as per contract obligations.
Working from Erith's office 8 am - 5 pm (1 hour unpaid lunch) Monday to Friday.
