Job summary

TfL, GLA or OPDC is seeking an Assistant Moves Manager to coordinate office relocations, refurbishments and workplace changes across Greater London. The role requires planning moves, controlling costs, and on-site oversight to deliver projects safely, on time and within budget.

You will work in a matrix structure across occupied offices and estates, liaising with customers and stakeholders to propose accommodation and refurbishment solutions while ensuring health, safety and environmental

  • Experience in moves planning, management and implementation.
  • Experience in procuring contractors and managing works on site.
  • Experience in multi-site environment including people management.
  • Move management involving multiple external and internal contractors, PO and invoice control.

  • Relocations and projects for the TfL portfolio.
  • Supports management and delivery of all allocated moves and projects with estimates, placing orders, producing move data sheets and managing contractors.
  • One-stop shop including client liaison, management of contractors and liaison with the wider Moves Team.
  • Basic scheme development with space planning to advise on accommodation schemes and interior design integration.
  • Prepare full specifications and contract/tender documentation for removals and projects; assist tender analysis.
  • Ensure accessibility and inclusion considerations are included in delivery where appropriate.

Overview of project/role

Working as part of a matrix management structure across both TfL’s Occupied Office and Operational Estates, the purpose of this role is to provide the management and co-ordination activities to deliver a moves and accommodation change service, across greater London, for relocation projects and to meet the required cost, schedule, technical, safety, quality, environmental and strategic objectives.

You will be responsible for managing and coordinating office relocation, refurbishment, and workplace change projects, ensuring work is delivered safely, on time, within budget, and with minimal disruption to business operations.

The role involves planning and scheduling moves, controlling project costs, managing resources, and overseeing on-site activities to ensure high standards of delivery. Working closely with customers and stakeholders, the post holder will provide recommendations on accommodation and refurbishment solutions, while maintaining a strong focus on health, safety, environmental compliance, logistics, and operational requirements.

Key Accountabilities
  • Relocations and projects for the TFL portfolio.
  • Supports management and delivery of all allocated moves and projects with particular responsibilities for providing estimates, placing orders, producing and distributing move data sheets and managing contractors.
  • Responsible for providing a one stop shop including all aspects of client liaison, management of contractors and liaison with the wider Moves Team.
  • Responsible for basic scheme development in conjunction with space planning to produce recommendations for accommodation schemes, advising customer managers on relevant aspects of design to ensure an integrated and consistent approach to interiors on the portfolio.
  • Support preparation of full specifications and contract / tender documentation for removals, projects. Support with tender analysis and provide feedback on appointment of appropriate contractors.
  • Ensuring accessibility and inclusion issues are fully considered and as far as possible included in the delivery of all projects where appropriate.

  • Good communication skills both oral and written with ability to support problem solving and promote spatial and furniture solutions. (Essential)
  • Demonstrate ability to work collaboratively with a team of third-party contractors to ensure high level of service delivery in a totally customer focused environment. (Essential)
  • Ability to manage customer and stakeholder expectations and deliv er service to meet these expectations. ( Essential )
  • The ability to work on own initiative, meet tight deadlines and deliver high quality work in a pressurised environment . (Essential)
  • Demonstrate a customer focused approach to service delivery ( Essential)
Knowledge
  • Knowledge and understanding of basic planning and project management tools and techniques. (Desirable)
  • An understanding of the practical considerations and constraints of logistics, moves in specialist and Operational environments is (desirable).
  • Awareness of Safety, Health and Environment issues in both Occupied Office and Operational Railway environments is (desirable).
  • Specifically, a good understanding of the Display Screen Equipment (DSE) Regulations. (Desirable)
  • Be computer literate and fully conversant with MS Office packages with an excellent understanding of Excel and Word. ( Essential)
Experience
  • Demonstrate experience of moves planning, management and implementation, including taking user briefs, generating budgets, specifying and programming works. (Essential)
  • Experience of procuring contractors and managing works on site – (desirable)
  • Experience in a multi-site environment including people management and IT skills with a business focused, customer driven approach. (Desirable)
  • Previous experience of moves management involving multiple external and internal contractors to include raising of purchase orders and invoice control is (desirable).
