Main Responsibilities
- Maintain accurate and up-to-date records for all Council assets, including buildings, land, equipment, fleet, and operational infrastructure.
- Support the development and administration of the Council’s digital Asset Register and associated inventories.
- Coordinate routine maintenance, repairs, and servicing, working closely with contractors and internal teams.
- Log, track, and monitor work orders to ensure timely completion and effective communication.
- Support depot operations, including stores and stock control, equipment tracking, and safe storage of tools and PPE.
- Assist with fleet and equipment administration, including servicing schedules, MOT records, and documentation.
- Provide administrative and logistical support for asset-related projects, minor works, and improvement programmes.
- Support property and lease administration, including record-keeping, inspections, renewals, and tenant liaison.
- Assist with insurance inventories, risk register data, and asset-related claims information.
- Record and monitor utility usage across Council buildings and facilities, supporting sustainability and carbon-reduction initiatives.
- Undertake routine checks of public conveniences and leased buildings, reporting maintenance or service issues.
- Act as a first point of contact for asset-related queries from staff, councillors, tenants, and contractors.
- Line manage and support the Assets Apprentice, providing guidance and development opportunities.
- Work collaboratively with colleagues across the Council to support operational and service needs.
- Promote and model the Council’s PACT values in all aspects of your work.
About You
You’ll be a reliable and well‑organised individual with experience in asset, property, or facilities administration, and a strong eye for detail. You’ll be comfortable juggling competing priorities, maintaining accurate records, and working with a wide range of colleagues and contractors.
You’ll enjoy a role that blends administration, coordination, and practical problem‑solving — and you’ll take pride in helping keep public buildings and facilities running smoothly.
Essential attributes
- Experience in asset, property, or facilities administration.
- Strong organisational and record‑keeping skills.
- Confidence using Microsoft Office and digital systems.
- Experience of coordinating works, stores, stock, or equipment.
- Ability to prioritise workloads and meet deadlines.
- Good communication and teamwork skills.
- A full driving licence.
Desirable attributes
- Experience working in local government or the public sector.
- Knowledge of lease or property management processes.
- Experience with digital asset registers or facilities systems.
- Understanding of insurance, risk management, or sustainability monitoring.
- Supervisory, mentoring, or apprenticeship support experience.
- A facilities‑related qualification (e.g. IWFM)
