Job summary

OCS UK & Ireland is seeking a commercial/financial support professional to work with the project delivery team in Glasgow. You will ensure accurate timesheets, costings and payroll information while supporting procurement and documentation processes.

You will coordinate with engineers, operatives and payroll to maintain data integrity and enable informed commercial decisions. The role is based in our Glasgow Office and follows a 08.00-16.30, Monday to Friday pattern.

Qualifications

  • Experience in commercial, project, finance or payroll administration.
  • Experience in construction, facilities management or technical services is desirable.
  • Excellent attention to detail with financial data.
  • Experience using CAFM or ERP systems is advantageous.
  • Strong IT skills including Excel, Office and SharePoint.
  • Excellent communication with suppliers and internal teams.
  • Strong organisation and deadline management.
  • Independent worker who can also collaborate with a project team.
  • Good listening skills and ability to interpret instructions.

Responsibilities

  • Liaise with engineers and operatives to ensure timesheets are submitted on time.
  • Process and cost timesheets within the CAFM system.
  • Prepare payroll upload templates in line with cut-off dates.
  • Liaise with Payroll Team to resolve queries promptly.
  • Support procurement processes with proper documentation.
  • Maintain accurate financial, commercial and project data.
  • Coordinate commercial administration and workflows across the project team.
  • Keep records and documentation up to date.
  • Provide Project Managers with accurate information for decision-making.
  • Liaise with suppliers, clients, engineers and internal stakeholders.
  • Identify and resolve discrepancies in timesheets, costs, payroll or data.

About The Role:
Purpose of Role

Working closely with the project delivery team, you will provide key commercial and administrative support, ensuring accurate financial data, compliant documentation and the efficient management of commercial processes.

Working Pattern - 08.00-16.30 Monday to Friday

A key part of the role will be ensuring engineers’ and operatives’ time is accurately recorded and costed within the Technical Services CAFM system, alongside preparing payroll information and supporting wider commercial and procurement activities.

You will coordinate core processes across the project team, providing Project Managers with accurate and timely information to support effective commercial decision-making.

The role is based in our Glasgow Office.

Main Duties
  • Liaise with engineers and operatives to ensure timesheets are completed correctly and submitted within agreed timescales.
  • Process and accurately cost engineers’ and operatives’ timesheets within the CAFM system.
  • Prepare and populate payroll upload templates in line with payroll cut-off dates.
  • Liaise with the Payroll Team to investigate and resolve queries promptly.
  • Support procurement processes, ensuring appropriate documentation and procedures are followed.
  • Maintain accurate financial, commercial and project data across relevant systems.
  • Coordinate commercial administration and workflows across the project delivery team.
  • Maintain accurate records and ensure project and commercial documentation is kept up to date.
  • Provide Project Managers with accurate information to support commercial decision-making.
  • Liaise confidently with suppliers, clients, engineers and internal stakeholders.
  • Help identify and resolve discrepancies or issues relating to timesheets, costs, payroll or commercial information.
Skills & Experience
  • Previous experience in commercial, project, finance or payroll administration would be advantageous.
  • Experience within construction, facilities management, engineering or technical services would be desirable.
  • Excellent attention to detail with the ability to manage financial and commercial data accurately.
  • Experience using CAFM or ERP systems would be advantageous.
  • Strong IT skills, including advanced Excel, Microsoft Office and SharePoint.
  • Excellent communication and interpersonal skills, with confidence engaging with suppliers, clients and internal teams.
  • Strong organisational skills and the ability to manage competing priorities and deadlines.
  • Tenacious approach with the ability to follow queries and issues through to resolution.
  • Strong listening skills with the ability to understand and interpret instructions accurately.
  • Able to work effectively both independently and as part of a wider project team.
