Job description

The successful candidate will be expected to work independently under the supervision of a senior team member, acting as the primary day-to‑day contact to deliver a range of corporate administration services to a varied portfolio of clients and related entities. This full‑time position requires someone at administrator level or early senior administrator level, rather than a top‑end senior administrator who is keen to progress quickly to Assistant Manager.

Job Duties:

  • Managing the formation and ongoing administration of a portfolio of companies
  • Liaising with clients and third parties such as lawyers, auditors, bankers, and investment managers as required
  • Transaction management, including organising and attending client meetings, drafting minutes and resolutions, attending to statutory filings in accordance with applicable deadlines, maintaining statutory records, and coordinating the timely signing of documentation
  • Processing bank payments, reconciling payment logs, and managing approvals
  • Production and circulation of invoices, fee collection, and chasing debtors
  • Supervising and assisting in the training of Trainee Administrators and Administrators while providing feedback and identifying additional training needs
  • Supporting the team ethos through rigorous process analysis to drive alignment and consistency
  • Contributing towards process improvements, enhancements in policies and procedures, and any service innovation changes to improve the client experience
  • Monitoring WIP and billing in accordance with fee agreements and undertaking fee reviews where necessary
  • Ensuring compliance with applicable laws, regulations, and internal policies and procedures, particularly related to the prevention of anti‑money laundering and terrorist financing
  • Undertaking any project work as required, including initiatives identified by the direct manager

Job Requirements:

  • 1 years+ Real Estate financial experience
  • Strong academic background, with a Bachelor's degree or equivalent preferred; working towards or holding a professional qualification such as ICSA is an advantage
  • Excellent written and verbal communication skills
  • Strong working knowledge of Viewpoint would be beneficial
  • Proficient in the MS Office package (Outlook, Word, Excel, PowerPoint)
  • Good understanding of applicable statutory laws and related legal and regulatory requirements, including anti‑money laundering regulations
  • Responsive and client‑focused with strong organisational skills and attention to detail; capable of dealing with tasks independently and using their initiative
  • Ability to provide training and mentoring to junior members of the team
  • Commitment and drive to achieve excellence for themselves, their clients, and their team
