Job Summary
This is a multi-skilled and highly responsible role within a busy GP surgery. The post-holder will combine patient-facing reception duties with administrative responsibilities, ensuring high-quality patient care and the smooth running of the practice.
Key Responsibilities
- Appointment management: book, amend and confirm appointments for routine care, urgent needs and medication reviews using the clinical system.
- Communication: answer incoming calls promptly, manage queries, relay messages and initiate outgoing calls; liaise effectively with patients, clinical staff and external organisations.
- Triaging: support and manage our on-line triage system, handling patient queries and triage decisions.
- Mail and correspondence: open, scan, process and forward incoming mail; code clinical correspondence using Read codes; dispatch outgoing mail.
- Clinical data entry: use SystmOne accurately for data entry, document access, and patient record updates. Maintain accurate patient records and support audits (QOF, Enhanced Services).
- Administrative support: maintain secure paper and electronic filing systems; use system templates; cover for colleagues during absence.
- Security and safety: follow building security procedures and maintain a clean, safe work environment. Report potential hazards and abide by health and safety policies.
- Additional duties: carry out other tasks as required by GPs, the management team and the clinical team within the scope of the role.

Qualifications
- Good standard of general education – GCSE or equivalent.
- GCSE Mathematics grade C or above, GCSE English grade C or above.
- European Computer Driving Licence (ECDL).
- Previous experience with System One (desirable).

- Experience working in a patient care environment.
- Experience handling prescription medication administrative work.
- Experience identifying risks to patient care.

- Experience in coding, processing clinical letters, and reporting.
- Excellent written and oral communication skills.

Other Requirements
- Hold a full UK Driving Licence (desirable).
- A detailed understanding of the General Practice office environment.
- Submission of a Disclosure and Barring Service check.
Employment Details
- Salary: depending on experience.
- Contract: permanent.
- Working pattern: full‑time, 37.5 hours per week, flexible; within practice hours 08:00–18:30.
