Job description
Responsibilities
  • Assist the Target Housing team to achieve organisational objectives and support the efficient functioning of Hull and Asylum Services.
  • Act as the first point of contact for referring agencies and clients.
  • Input client data onto the Omni ledger.
  • Liaise closely with external agencies.
  • Arrange contractor access.
  • Develop an approach to signposting individuals to other housing providers and build rapport with those providers.
  • Ensure all correspondence is consistent and uniform, produced to a high professional standard, in line with the Supporting People quality framework.
  • Follow an equality of opportunity approach to managing accommodation waiting lists, ensuring the Fair Access Policy is followed.
  • Attend the weekly team meeting.
  • Complete spreadsheets for contractual requirements.
  • Perform any other duties deemed appropriate and agreed with the Service Manager.
  • Respond to telephone queries, take messages, update the database accordingly and welcome sign‑in visitors.
  • Create and develop forms and databases to develop office systems and increase organisational efficiency.
  • Record relevant information in the database and produce reports as required.
  • Assist with office duties as directed and day‑to‑day office functioning.
  • Attend meetings and produce minutes.
  • Maintain office stock and process stationery orders.
  • Participate in implementing appropriate Quality Assurance Systems.
  • Prepare evidence in readiness for any inspections and annual organisation self‑assessment.
  • Attend relevant training and meetings as directed by the Service Manager.
  • Develop skills in Omni (internal database).
  • Ensure all electrical and technical equipment such as photocopier, fax and telephones are fully functioning.
  • Support the team in resolving IT issues, liaising with external IT Support Service.
  • Operate the ring‑around procedure for Target staff.
  • Meet and greet visitors and tenants.
  • Allocate incoming and sort outgoing mail.

  • Familiar with the use of Word, Excel, Publisher, PowerPoint and database systems.
  • Possess excellent written and verbal communication skills.
  • Hold knowledge of administration systems.
  • Experience in office administration.
  • Ability to liaise with a diverse range of people.
