Job description
Overview

Administration Apprentice primarily supports the management of the key elements of the back office function. You will work towards achieving your business administration qualification by undertaking an recognised apprenticeship and ensure all modules are fully completed.

You will learn how our Skills Matrix is used and book staff on training courses and keep records of all training required, training attended and log all certification and qualification on our simpro system.

You will report monthly on mandatory courses via Kallidus and communicate to those who are not compliant.

You will learn how to use our holiday planning system and actively take ownership of this.

You will learn the job role of the Administrator to enable cover during holiday and other absence.

Supply Chain Governance & Analytics – 50%
  • Provide timely and effective Supply Chain information and collation for Onboarding and Reviews.
  • Assist Supply chain Admin team as required. Work with the Supply Chan Team in ensuring that procurement within the business is carried out in accordance with the company processes and policy.
Supply Chain Business Development – 50%
  • Provide timely Supply Chain Bid team administrative support, with specific responsibilities around SC NDA circulation, administration, submission chase and follow-up. SC pack administration, collation and distribution. Monitoring, forwarding and fielding incoming SC questions and clarifications.
  • Working closely with the Supply Chain Governance and Analytics Manager.
  • Manage the on-going supplier compliance function to ensure that suppliers hold valid certification and compliance requirements in line with EMCOR's process.
  • Check and review that all supporting documentation has been provided as requested.
  • Compile one Review sheet and combine onboarding and reviews on one document.
  • Ensure specific company accreditations are in place for the type of work the Supply Chain provide and not just for the works they have been initially requested to carry out.
  • Ensure Supply Chain Quality & Environmental policies are signed and in date.
  • Reporting to the Head of Supply Chain and working closely with the Supply Chain Manager within the SC bid function on administrative requirements for each bid.
  • NDA issue and receipt administration and DocuSign processing responsibility.
  • Collation, dispatch and SC engagement for the provision of each bids SC bid pack requirements.
  • Fielding Tender email box questions, correspondence and re‑directing and escalating as required.
  • To support additional administration within mobilizations, general SC admin as time allows during any down time between bids.
Qualifications
  • An apprentice or graduate level role, ideal as an initial step on the ladder within a national FM organization.
  • Strong IT skills with a good working knowledge of Microsoft Office, Teams and document version integrity, including Excel skills with the ability to work confidently and accurately.
  • Attention to detail and accuracy is critical.
  • Good level of interpersonal and communication skills, along with good presentation skills and ability to teach others use of technology solutions.
  • Self‑motivated and a team player.
  • Organised, proactive and flexible in the approach to all tasks.
  • Some H&S knowledge (not essential).
  • Exposure to or some knowledge of FM services (not essential).
  • A desire to progress career within procurement and supply chain within FM, Attention to Detail.
  • Excellent Communication Skills.
