Job description
Overview

This role supports the NHS Specialist Pharmacy Service, specifically the Medicines Use and Safety team, by providing administrative and technical support for the Medicines Engagement Leadership Programme. The post is full‑time (1.0 WTE) on a fixed‑term contract or secondment until 31 March 2026 and may be considered for part‑time work. The post holder will maintain administrative practices and procedures, organise workload, liaise with internal and external colleagues, and contribute to the technical and administrative aspects of delivering a national network programme through online platforms and face‑to‑face meetings.

Responsibilities
  • Manage diaries for the team.
  • Organise and take formal minutes for local, national and regional meetings.
  • Provide project support to leads and teams.
  • Support the technical and administrative aspects of national webinars accommodating up to 1000 participants.
  • Assist other line managers in recruitment and selection procedures.
  • Perform administration for new starters and leavers (ID and car‑park cards, IT accounts, e‑learning, etc.).
  • Deputise for other Administrative Officers and colleagues in stock control and accounts payable.
  • General administration and facilities liaison.
  • Accounts receivable and customer service.
  • Train other team members on personal assistant activities and technical aspects of online events to ensure continuity of service during absences.
Qualifications
  • Essential criteria
  • NVQ Level 3 or equivalent.
  • Experience of note‑taking at meetings.
  • Experience of using online graphics software packages.
  • Demonstrable knowledge of secretarial and office administration services.
  • Good working knowledge of Microsoft Office suite.
  • Ability to train and supervise other staff.
  • RSA 2/3.
  • ECDL.
  • Desirable criteria
  • Demonstrable experience of working with the NHS Specialist Pharmacy Service.
  • Experience of working within a pharmacy service.
  • Demonstrable experience of working within a multi‑agency team or with customers.
  • Experience of working with confidential information.
  • Experience of organising meetings or training sessions for up to 1000 participants delivered face‑to‑face or via virtual platforms.
  • Experience of writing in HTML.

The post is hosted by Liverpool University Hospitals NHS Foundation Trust; however, the post holder can work remotely. Flexible working arrangements are available, including part‑time, reduced hours, compressed hours, fixed shifts, time back in lieu and home working.

Under current Home Office Immigration Rules, we are unable to offer right‑to‑work visa sponsorship for Band 2 and 3 roles with a salary of less than £25,000 pa. All DBS applications will be subject to the standard or enhanced fee and deducted from salary following commencement of employment.
