Job description
Overview

Senior Administrative Officer to provide direct support to the regional Staff Engagement and Communications Officer. Tasks described below differ from the generic Senior Administrative Officer role.

Responsibilities
  • Maintain, administer, and promote the Reward and Recognition scheme (including Long Service Awards), issue vouchers/gifts, keep accurate records (including tracking regional spend), and advise PDUs and staff on processes.
  • Act as a single point of contact for regional colleagues to assist with creative projects and developing internal content.
  • Support the SECO in creating and administering regional content and events, including newsletters, presentations, podcasts, videos and social media content.
  • Act as a single point of contact for regional engagement and communication queries.
  • Act as a single point of contact for regional outreach support.
  • Maintain distribution lists, proactively gather resources, and audit information systems in compliance with Information Assurance policies.
  • Any other duties as detailed by the Staff Engagement and Communications Officer or Head of Corporate Services.
Working arrangements

Hybrid working arrangements are available where business needs allow. This is informal, non-contractual flexible working blending base location, MoJ sites and/or home, and is limited to the UK. Some roles may not be suitable for Hybrid Working; arrangements will be discussed and agreed with the successful candidate(s) and reviewed regularly.

Location and terms

For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location (which may include a Justice Collaboration Centre or Justice Satellite Office). Details will be discussed and agreed on completion of pre-employment checks.

Working hours and flexibility

Standard full-time hours are 37 per week excluding unpaid breaks. HMPPS supports part-time, flexible and job-sharing patterns where they meet role demands and business needs. Applications for part-time/flexible patterns will be considered under the HMPPS Flexible Working policy.

Selection process and candidate experience

A sift based on lead behaviours (Changing and Improving, Delivering at Pace, Making Effective Decisions) may be conducted. If many applications are received, a full sift may follow. The assessment methods include: Statement of Suitability; Guidance for the Statement of Suitability; Evidence of Experience; Technical Test; Level of security checks required (DBS Standard).

Qualifications and experience
  • Experience of all Microsoft Office applications is essential.
  • Experience of (or willingness to learn in role) Adobe Creative Cloud packages (especially Photoshop and InDesign), and openness to learning other software.
  • Ability to write and optimise content for internal and external communications; excellent written and verbal communications skills.
  • Consistency in voice, branding and messaging; able to reflect core corporate values in work.
  • Strong organisational skills with the ability to meet competing deadlines.
  • The job holder will be provided with appropriate induction and training.
