Administrative Assistant

Location: London (Hybrid working available but must be able to regularly attend meetings and events in London)

Salary: depending on experience (Yearly Salary: 30,000 - 35,000)

Contract Length: Fixed Term (Initial 6 month fixed term contract with possibility of extension / permanent contract upon review)

About Palace Yard

Palace Yard is a cross‑party think tank working with industry academics and policy‑makers / parliamentarians to deliver high‑quality events and policy programmes. Palace Yard also manages All‑Party Parliamentary Groups (APPGs) and provides political insight to help stakeholders navigate Westminster.

The Role

The Administrative Assistant will play a key role in supporting the smooth running of the organisation. This is a varied position combining diary and inbox management, general administration and assistance with the delivery of events and client work. It is suited to someone who is highly organised, proactive and confident engaging with stakeholders in a fast‑paced environment.

Responsibilities
  • Inbox and Diary Management: Support the Chief Executive and senior managers by organising diaries and managing incoming correspondence.
  • CRM and Record‑Keeping: Maintain accurate and up‑to‑date databases and records.
  • Event Administration: Support the delivery of events by scoping and booking venues, arranging catering, managing guest lists, drafting and sending invitations and tracking responses.
  • Programme Support: Provide administrative support to colleagues working on APPG events and with our members and stakeholders.
  • General Administration: Prepare documents, maintain filing systems and provide additional office support as needed.
Person Specification
  • Proactive self‑starter: Takes initiative, seeks out solutions independently and is confident picking up the phone to get answers.
  • Relationship builder: Able to establish rapport quickly, act as a trusted and welcoming representative of Palace Yard and maintain strong professional relationships over the long term.
  • Meticulous: Strong attention to detail with excellent written communication, spelling and grammar.
  • Organised and efficient: Skilled at managing multiple priorities and delivering to deadlines in a fast‑moving environment.
  • Tech‑confident: Proficient in Outlook, Microsoft Office and CRM/database systems (experience with similar tools would be advantageous).
  • Adaptable team player: Flexible and willing to support colleagues across the business.
  • Experience: Previous administrative or PA experience is desirable.
  • Independent worker: Comfortable embedding within a small organisation’s ethos and values and effective at working in a hybrid / remote environment.
