We are looking for an Administrative Assistant/Receptionist working 30 hours per week (Monday, Wednesday, Thursday, Friday) supporting the Adult Mental Health Services based in Market Drayton. Our Administrative Assistants are an integral part of our Admin Team, and our clinical teams rely on us to provide an efficient, effective service to support them in delivering the very best care to patients. The administration offices are busy, and the role is challenging but it is also rewarding. What will the role entail?
Responsibilities
- Utilise the patient administration system (RiO) on a daily basis keeping accurate records and booking of appointments.
- Carry out administrative tasks such as photocopying, scanning, uploading documents, typing.
- Type a range of documents including emailed requests, copy typing, and audio transcription (via digital dictation system) generated by the mental health pathway teams.
- Use a variety of electronic systems (MS Office, RiO, MICAD, E-Proc).
- Manage and deal with calls from service users, families, carers, and other professionals.
- Support the team in carrying out admin work requests via the centralised admin inbox.
- Confidently handle queries of a challenging/sensitive nature.
- Concise and accurate message taking.
- Reception duties including meeting and greeting service users, carers, relatives and visitors, as requested by the Admin Team Leader.
- Prioritise own workload and meet deadlines in order to meet the requirements of the post.
- Enthusiasm to provide a high-quality administrative service.
- Strong computer skills in particular Word and Outlook.
- Attention to detail.
- Good grammar and written skills.

- Quick thinking as priorities can change and flexibility to meet service need with a passion for quality.
