We are looking for an Administrative Assistant to join our team in Spalding, UK.

As an Administration Assistant, you will provide essential front-of-house reception cover while delivering administrative support across key functions, including People & Culture, Health & Safety, and Training. You will act as a first point of contact for visitors and calls, helping to create a professional and welcoming environment. You will also help ensure records are accurate, training sessions are coordinated, and documentation is up to date, contributing to the smooth and compliant running of the business. This is a varied and hands-on role, ideal for someone organized, approachable, and eager to make a difference across multiple teams.

Responsibilities
  • Be the friendly face of our office by welcoming visitors, staff, and contractors with warmth and professionalism.
  • Manage a busy reception area, handling calls, emails, and post with efficiency and a proactive attitude.
  • Ensure the front-of-house space is always clean, tidy, and ready to impress.
  • Support smooth day-to-day operations by coordinating meeting rooms, refreshments, and other key logistics.
  • Provide dependable administrative assistance across departments, including filing, data entry, document formatting, and general office support.
  • Take responsibility for maintaining office supplies, placing orders as needed to keep everything running smoothly.
  • Support the People & Culture team by preparing onboarding documentation, maintaining staff records, and helping share internal communications and event updates.
  • Assist with health and safety administration, including record keeping, incident logs, training coordination, and compliance tracking.
  • Organise and manage training sessions, ensuring materials are prepared, attendance is tracked, and mandatory training remains up to date.
  • Keep internal systems updated, including desk booking tools and digital noticeboards.
Requirements

  • Strong organisational skills with the ability to multitask effectively.
  • Friendly and professional communication style, both written and verbal.
  • Comfortable working with confidential information.
  • Good working knowledge of Microsoft Office (Word, Excel, Outlook).

Desirable

  • Previous experience in an administrative or front-of-house role preferred.
