A leading global biopharmaceutical company is seeking a highly organized and proactive Administrative Assistant to support its commercial team. This role is pivotal in ensuring smooth day-to-day operations within a dynamic, fast-paced environment.
Key Responsibilities
- Schedule meetings and coordinate logistics with internal and external stakeholders
- Manage travel arrangements and expense reporting
- Organize catering and logistics for critical on-site meetings
- Raise purchase orders and manage accruals
- Provide systems support and generate monthly reports/metrics
- Plan and execute site events and team-building activities
- Support onboarding and training administration for new hires
- Maintain distribution lists and internal communications
- Manage content on internal platforms (e.g., SharePoint)
- Act as the go-to person for operational and administrative inquiries
- Serve as the site expert for Microsoft Teams
- Lead and support ad hoc projects
What You Bring
- 5–10 years of administrative experience, including support for global teams
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint)
- Experience coordinating complex travel and using expense management systems
- Excellent communication skills and professional presence
- Ability to prioritize, multitask, and work independently with urgency
- High attention to detail and discretion with sensitive information
- A collaborative, can‑do attitude and strong influencing skills
