Administration Manager (Apprenticeships/Training Sector)

Our customer is a high-growth Apprenticeship/Training Provider in Worcester. They partner with some of the top recognised brands across the UK. They have achieved phenomenal growth over the last 2 years, especially since the inception of the sales team, which has grown their learner portfolio by over 10,000. The Administration Manager is a new role, created due to this phenomenal growth!

The Role and Responsibilities

The Administration Manager is responsible for leading the day-to-day operations of the Administration Department, ensuring that all learner, employer, and compliance processes are accurate, timely, and meet regulatory and audit standards (DfE, Ofsted).

You will manage a team of 2 Administrators, consistently reviewing processes to ensure best practice, accuracy, and compliance at every level, with a right first-time expectation. You will lead 1:1s and attend key, weekly management meetings.

Key areas of responsibility include
  • Learner Data & Compliance: Overseeing the enrolment process, ensuring detailed, accurate information in all learner records that are compliant with standards. You will ensure learner breaks are accurately logged and followed up upon, and that digital records are all up to date.
  • Audit Leadership: Lead on internal compliance reviews and prepare for external inspections/audits. You will work closely with the Finance function to resolve data errors.
  • Facilities Management (FM): Oversee the administration of soft and hard FM services, including contractors responsible for cleaning, maintenance, and building compliance. You will act as the main liaison for external FM providers.
  • Safeguarding: This role is designated as the Safeguarding Departmental Lead.
  • Operational Support: You will take a proactive, roll-your-sleeves-up approach. The admin team is also responsible for the front of house of this busy office (including opening/closing of the office), so rota management will be a key part of this.
  • Strategic Engagement: Attend sector conferences, webinars, and network meetings to stay informed of funding changes and policy updates, sharing key insights with senior management.
Essential Requirements
  • Have proven experience managing administrative or compliance teams within the apprenticeships industry to understand the industry regulations/compliance requirements.
  • Be a strong people manager, with the ability to coach junior staff members to high standards.
  • Be comfortable leading as well as getting involved in day-to-day administration tasks.
  • Be competent in sector-specific administration and CRM systems (or similar).
  • Commute to Worcester daily.
