An opportunity has arisen for a motivated admin clerk to provide administrative support to the Haematology & Specialist Medicine clinical team.
The role will involve working closely with the secretarial team providing a comprehensive administrative support service. The post holder will be responsible for opening/sorting post, management of patient pathways, appointment bookings, managing waiting list, chasing investigations/test results, updating blood database and any other administrative tasks directed by the secretarial teams.
The post holder will provide a high-quality administrative support service ensuring timely and accurate handling paperwork. Experience of EPR and appointments booking would be advantageous. Successful candidates must be efficient, well organised and able to communicate well at all levels. Accuracy and attention to detail are essential.
Main duties of the job
- Provide administrative support for the Haematology service.
- Deal with telephone calls, ensuring that they are dealt with accurately, in a timely, polite and courteous manner.
- Contribute to the daily delivery of the service by ensuring all tasks required by the Medical Secretary/Team Coordinator are completed in a timely and efficient manner.
- Contribute to the development of efficient and lean processes to ensure an efficient service.
- Assist the Team Coordinator and Secretarial colleagues and provide a comprehensive administrative service to the Haematology Team. Deal with telephone calls, e‑mails and face to face contact with Trust Staff, ensuring enquiries are dealt with in an efficient, polite and courteous manner and providing advice when deemed appropriate or relaying clear messages to relevant members of the team. Use local databases and IT systems as appropriate.
- Perform some medical secretary duties when colleagues are on annual leave or absent due to sickness and will involve making independent judgements, but referring to seniors when necessary.
- Any other duties as required and appropriate to the level of this post.

Job responsibilities
PRIMARY DUTIES & AREAS OF RESPONSIBILITY
- Assist colleagues with workload, providing secretarial/administrative support relating to the Haematology service.
- Chase all investigations/test results.
- Chase and book bloods in preparation for upcoming clinics.
- Check for unused slots to ensure clinic capacity is utilised effectively.
- Participate in key performance targets.
- Input clinical/administrative data for retrieval for audits and presentations and action any changes of information regarding patient pathways related to 18 week RTT on electronic systems.
- Prioritise workload.
- Take ownership of the completion of any tasks given within an allotted timeframe.
- Demonstrate a professional approach to the work as required by the team management.
- Take ownership of any issues or problems and escalated these to the appropriate team member.
- Ensure confidentiality of information relating to patient, relatives and/or staff.
- Receive and manage telephone and personal enquiries, often of a sensitive nature in a constructive and sympathetic manner, referring to the appropriate person where necessary and rerouting these calls when required.
- Effectively and efficiently administer and maintain all relevant IT systems. The systems could include EPR, SystmOne and/or other local systems (IT systems that records essential clinical and personal information about patients) word, internet and email.
- Deputise/cover for secretarial colleagues during periods of sickness, annual leave or training which may include secretarial cover and management of own workload when necessary for short periods of time throughout the year (with support and guidance from seniors when required); prioritising workload, working on own initiative as far as possible and ensuring work is carried out in specific timescales, meeting both Trust and Government deadlines. For longer periods of cover, acting‑up arrangements may be put in place.
- Work in close liaison with secretaries and assist in the smooth running of the department to undertake other clerical duties as delegated by the colleagues as and when required.

Person specification
Experience – Essential
- Working experience/knowledge of computers, data input and word processing.
- Previous clerical experience in an administrative setting.
- Experience of working face to face and/or telephone contact with the general public.
- Experience of offering suggestions for improving own or team working practices.
