Overview

Administration Assistant

We are seeking to appoint a pro-active, motivated and enthusiastic administrator to join our friendly office team.

Milby Primary School is a popular school with happy children, supportive parents and dedicated staff and governors.

This is a diverse and exciting role, which involves both working as part of a team and individually, providing administrative support, to ensure the smooth running of the school.

You will need to have excellent interpersonal and organisational skills, and be highly proficient in the use of IT systems: e.g. word processing and Excel. You will need to be able to use your initiative and prioritise work effectively to meet strict deadlines, have excellent written and oral communication skills, be able to communicate sensitively and tactfully with a range of stakeholders, and will need to have the ability to work calmly under pressure.

Responsibilities
  • Undertake reception duties - answering the telephone, dealing with face-to-face and written enquiries and signing in visitors, ensuring safeguarding procedures are followed.
  • Liaising with parents, carers and external agencies.
  • Undertake administration of our school lunch system, including involvement in the lunchtime process for children with medical and dietary conditions.
  • Maintain records for pupil medical and dietary needs.
  • Administration of school swimming provision and school trips.
  • Provide general clerical/administration support, e.g. photocopying and scanning, completing standard forms, compilation of letters, dealing with post.
  • Provide administration support as directed by the Senior Administrator, School Business Manager and the senior leadership team.
  • Be aware of, and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection.
  • To be proficient in the use of Microsoft Office applications.
  • The ability to be flexible and accommodating to the needs of the school.
Requirements
  • This post is a permanent position, working 22.5 hours a week (9:00am – 1:30pm Monday – Friday), term time only (39) weeks and is for an immediate start.
  • Salary scale E - £13,322
  • Proficiency in Microsoft Office applications.
  • Be able to work with initiative, prioritise, and communicate effectively with a range of stakeholders.
