A leading health service provider seeks an Administration Assistant to provide quality services in Dunstable. You will manage appointments, maintain patient records, and act as a first point of contact for patients. Administration Assistant

An exciting opportunity for an enthusiastic and committed Administration Assistant to provide high quality services to the community who use the Integrated Contraception and Sexual Health (iCaSH) services across Bedfordshire. Your main base will be Grove View Dunstable, with expectations to cover Kings Brook on Saturdays as per rota.

Main duties of the job
  • Act as the first point of contact to patients and visitors, ensuring all enquiries and contact with iCaSH are dealt with in a welcoming, friendly, efficient, courteous and professional manner, promptly prioritising as required depending on the urgency of enquiry.
  • Facilitate and manage appointment booking for clinics via telephone, online booking, direct messaging, chat functions and the clinical system; process patient demographics, update records, and manage waiting lists.
  • Maintain accurate patient records both manual and electronic in accordance with the organisation's Record Keeping Policy.
  • Respond to routine enquiries and requests for information, passing information to relevant colleagues promptly.
  • Receive, sort, distribute and dispatch all mail, ensuring outgoing mail processed and ready for collection.
  • Open, sort and prioritise clinic mail; scan relevant client medical records, laboratory reports, and other correspondence onto the electronic patient record.
  • Take bookings for meeting rooms when required.
  • Assist with archiving of clinical notes in line with NHS Trust Retention and Disposal Policy.
  • Provide administrative support to iCaSH Service secretaries as needed.
  • Facilitate communication with patients; manage booking of appointments and email correspondence using clinic systems.
Work schedule

22.5 hours per week: Monday 12.00‑20.00, Wednesday 09.00‑18.00, Thursday 09.00‑16.00, plus Saturday on rotation 09.00‑13.00 with a half day off that week.
