Admin Support (Child Health)

To provide full administrative support to the service.

Carry out general administrative duties including Microsoft Word/Excel/scanning/emailing and dealing with incoming/outgoing post.

Carry out work as necessary to ensure that information held on 60,000+ children on the Child Health Information System (CHIS) database is accurate.

Undertake all duties and tasks on CHIS in a timely manner as identified in the Child Health specification.

Provide excellent customer service when dealing with queries from patients, other professionals, colleagues, and external contacts.

Support areas of the Trust as appropriate and required.

Main duties of the job

Provide professional admin support whilst adhering to CHFT Trust values.

Understand the need to maintain patient confidentiality.

Maintain effective working relationships with all staff.

Be able to prioritise workloads, maintaining accuracy and meeting deadlines as required in the Child Health Specification.

To record all births/deaths within the specified timescale, ensuring all sensitive information is sent to appropriate departments/organisations.

To ensure timely recording of all immunisations from GP's/Maternity/School Nurse information/School Imms Teams.

To ensure timely recording of all 6-8 week health checks and feeding status.

Upload Newborn Infant Physical Examination Results (NIPE).

To ensure that all records of children moving in or out of the area are dealt with confidentially within the specified timescale.

Respond to nonclinical queries from patients, colleagues and other professionals using excellent customer service skills and a friendly and flexible approach.

Ability to use a VDU for extended periods of time.

Provide cover for colleagues to ensure smooth running of the department.

Ability to work on own initiative, make decisions within written guidelines.

Filing and safe distribution of confidential files including safeguarding notes/minutes.

Experience in software packages such as Microsoft Word, Outlook and Excel.

Job responsibilities

Maintain accurate, timely and legible records in accordance with Trust policy when accessing Trust Patient Information Systems.

Data collection and input of activity on SystmOne.

Recording blood spot and vision screening results.

Forwarding immunisation appointments/health checks to all GP practices.

Recording all children's heights & weights in accordance with National guidelines.

Carry out general administrative duties including Microsoft Word/Excel/scanning/emailing and dealing with incoming/outgoing post.

Attend Team Meetings and participate discussions for improvements to systems and processes.

To ensure that you are flexible in your approach to working and undertake any ad-hoc duties as required or requested by the Directorate.

To complete an incident form if the need arises.

To ensure that the Child Health Supervisor is informed if there is a system fault or any potential risk related problem.

Ensure that confidentiality is maintained at all times.

Be responsible for highlighting any Health & Safety issues to the Child Health Supervisor.

Ensure that Calderdale and Huddersfield NHS Foundation Trust policies and other regulations are applied as appropriate.

Any other duties, which are delegated appropriate to pay grade & post.

Clinical Duties: There are no clinical duties required in this post.

Professional Duties: Maintain confidentiality in all aspects of work. Effective communication taking into account the level of communication, any difficulties encountered, and the type of information being communicated. Dealing with enquiries. Taking messages ensuring they are communicated to the relevant person in the agreed format. Dealing sympathetically with both parents and carers regarding any concerns they may have ensuring that a record of the conversation is recorded as appropriate.
