Admin Receptionist
What your day-to-day will look like:
Human Resource
  • Record and inform the relevant people about an absence.
  • Make TL aware of any triggers.
  • Issue absence forms to employees when necessary then email these forms to HR.
  • Update an maintain overall absence tracker as a visual aid. Used to calculate site absence analysis.
  • Update individual records and send self certs/doc notes to HR
  • Calculate % absence’s and send monthly updates to management team
Hosting
  • Point of contact for all visitors, carry out H&S and site induction
Site & Parking
  • Monitor itinerary and notify site of available staff,
  • Check all first aid certs are in date. Notify John of any failures.
  • Report incidents/issues to EQ facilities, 3M departments as appropriate. Escalate when necessary to client
  • Fully responsible for the staff parking. All alteration and changes are now made by reception
  • Update site movements monthly, Monitor and remind TLs to fill gaps weekly
Security
  • Collect and update emergency details from all staff members
  • Print and record door entry/ID passes
  • Using the data base to book in and check out visitors as part of the fire evacuation process.
  • Ensure all visitors sign the “visitor book” and assign them a visitor badge.
  • Complete Site Induction process with contractors.
Admin
  • Update wallboards/TV screens with relevant information from the TLs.
  • Co-ordinate the clean-up of the Manchester drop-box.
  • Update staff members about the site audit.
  • Set up layouts of the meeting rooms when requested. Request change of bookings if required and monitor appropriate usage.
  • Order stationery as and when required. Incoming and out going post parcel management
SAP
  • Undertake 3M SAP entries on behalf of the client
