Job description
Overview

To provide a comprehensive clerical first point of contact for a fast-paced Paediatric Phlebotomy outpatients Clinic as part of the Paediatrics Care Group. This involves direct contact and communication with patients and Trust staff daily. The post holder will assist all service areas within the Phlebotomy Department outpatient service, covering duties including booking in patients attending the service, taking patient queries, answering telephone enquiries from patients and Trust staff, and sorting post. The role includes participating in general reception duties, dealing with the public and patients in a tactful and courteous manner, and communicating effectively where language, cultural differences, physical or special needs, or distressed patients require sensitive handling. Confidentiality must be maintained when providing and receiving sensitive information from patients and their representatives or carers. Handle telephone duties, ensure timely responses, and book appointments as required.

To perform telephone duties that include making and receiving calls to patients and Trust staff and conveying complex, sensitive information to hospital clinicians, GP surgeries, other healthcare professionals and external agencies in line with departmental policies and the Data Protection Act.

To cover the Paediatric Outpatient reception area, meeting patients politely, efficiently and professionally, checking all relevant details and processing requests as required by ICE or other booking services.

Responsibilities
  • Accurately check and record patient details, obtaining all relevant information and clinical details on patient record systems, and highlighting discrepancies for further investigation.
  • Ensure stationery and pathology consumable supplies are available for the smooth running of all departments in liaison with Care Group Management.
  • Work under own initiative when required.
  • Adhere to the Trusts complaints procedure with regard to written and verbal complaints, using appropriate referral mechanisms to resolve situations.
  • Form effective communication with colleagues and all other departmental staff to ensure adequate arrangements are made to carry out all assigned duties.
  • Support a culture of continuous improvement in services and professional responsibility for themselves and peers within an open, no-blame environment.
  • Take part in any necessary training programmes to maintain up-to-date knowledge of procedures and practices related to the departments within the Care Group and the Trust Organization.
  • Be aware the Trust operates a system of IPDR for agreeing performance objectives and discussing development needs in line with service requirements.
