We have an exciting opportunity for an Admin Assistant to join the client care team at Wicstun Vets and assist with the day to day of our busy 24-hour hospital, and two branch surgeries. Your role and responsibilities You must be able to work as part of a team as well as independently in supporting our clients, patients, and clinical teams in our busy practices. This is a rewarding and challenging role that will require teamwork and dedication.   • To work as part of a team as well as independently supporting our clients, patients, and clinical teams in our busy group.
  • Answering telephones and diverting or taking messages ensuring prompt delivery and accurate details.
  • Monitoring practice email and directing enquiries to the relevant department
  • Accurately inputting patient data to the computer system as required
  • Dealing with all general enquiries, explaining procedures in place and making new and follow up appointments.
  • Advising clients of relevant charges, taking payments and providing receipts and invoices where applicable.
  • Contact clients via phone, email, and written correspondence to chase overdue payments.
  • Resolve billing issues or disputes professionally and compassionately
  • Maintain accurate records of all communications with clients
  • Holiday/sickness cover for the Client Care Team including reception duties
  • Experience in a veterinary administrative role is desirable
  • Be highly organised and with the ability to prioritise along with problem solving skills
  • Excellent communication skills including difficult conversations
  • Experience of working under pressure
  • Possess sound decision-making skills and ability to work under own initiative
  • Have a professional, polite, assertive telephone manner
