Accounts Assistant – Fraser Suites Edinburgh, EH1 1PT

Rate of Pay / Hours: £13.52 an hour / 24 hours per week (Ideally 3 days in property, one day remote, 6 hours per day)

Type of Contract: Fixed term contract – 7 months (possibility of extension)

What you will be doing as an Accounts Assistant

You’d make a great addition to our team. The Accounts Assistant is a key member of the finance team, assisting in self‑accounting for all departments and the property’s business. Responsibilities include reconciling, forecasting, managing sales ledger, purchase ledger and payroll. You will liaise with the reception and nights teams regarding night audit, cash handling, billing and payment practices.

Key expectations: excellent communication skills, teamwork, a hands‑on attitude, passion for hospitality and a smile. Experience in a hospitality background and familiarity with HMS/SAP is beneficial. You will work closely with the financial controller and support the property management team. Systems used include HMS, SAP, Excel, Word, PowerPoint, online banking and Procure Wizard.

Main Duties
  • Carry out daily bank reconciliations of payments and credit card transactions.
  • Follow up on any posting discrepancies.
  • Deal with chargebacks reported through Adyen / FC.
  • Prepare write‑off forms in the event of bad debts realised.
  • Hold AR meetings with GM to track overdue guest/AR payments and prepare meeting minutes.
  • Chase hotel invoices/overdue payments for guests’ reservations via email or phone.
  • Communicate with TA regarding payments and commissions, prepare account statements and resolve overdue commission queries.
  • Maintain and chase up Procure Wizard invoices, deliveries and queries.
  • Set up new vendors and suppliers.
  • Review vendor statements to ensure all invoices are processed and paid by accounts payable.
  • Track and chase missing or incorrect vendor invoices.
  • Prepare processed inter‑company invoices for GM authorisation and deliver to accounts payable regularly.
  • Report issues with vendor invoices back to departments (HSK/Maintenance) for corrections.
  • Organise refunds/funds transfer documentation in case of book‑outs and overpayments.
  • Prepare weekly/adhoc cash collections and conduct regular float counts.
  • Verify and reimburse petty cash transactions.
  • Oversee the monthly stocktake.
  • Assist the financial controller with SAP processing for petty cash and GM credit cards.
  • Lead by example in cash control and internal security measures within the property.
  • Observe and comply with health and safety policies.
  • Observe and comply with company standard operating procedures.
  • Assist the financial controller with other ad‑hoc tasks as they arise.
