JOB TITLE: Academy Administrator/Receptionist

Job Opportunity

We are seeking an enthusiastic and dedicated individual to join our team in Cobham, providing a professional and efficient front‑of‑house and administrative service that supports the smooth running of the Academy. This role is vital in ensuring seamless day‑to‑day coordination, accurate record‑keeping, and effective cross‑departmental support—contributing to an exceptional experience for players, parents, staff, and visitors.

This is a reception based role with one evening shift per week and bi‑monthly weekend work (Sat or Sun)

Key Responsibilities
Reception Duties
  • Provide a professional, friendly first point of contact and manage visitor sign‑in in line with safeguarding.
  • Ensure the reception area is staffed, clean, safe, and well‑presented at all times.
Administrative Support
  • Complete core admin tasks (SOP updates, communication, maintenance logging, purchase orders, file audits).
  • Maintain accurate staff records and manage stationery orders and daily post.
Systems & Processes
  • Act as a Teamworks super‑user to keep staff and player profiles current.
  • Manage Parent Expenses (Concur) and casual staff timesheets, coordinating with Accounts/Payroll.
Games Programme & Tours
  • Support Games Programme operations, including fixtures, documentation, and matchday logistics.
  • Assist with tour coordination: travel documents, itineraries, bookings, and post‑tour audits.
Event Coordination
  • Support delivery of key Academy events and staff in‑service activities.
  • Arrange accommodation bookings for staff and players.
What you will bring to the role:
  • Friendly, professional, and confident communicator.
  • Highly organised, detail‑focused, and able to work under pressure.
  • IT literate with experience in systems such as Teamworks and Concur (training provided).
  • Trustworthy and discreet, maintaining confidentiality at all times.
  • Flexible with working hours, including availability for one evening per week and occasional events/tours.
