Qualifications

  • Good standard of education to include English and Maths at GCSE or equivalent – essential.
  • Graduate level qualification or demonstrable equivalent experience – desirable.
  • Level 2 Health & Safety in the Workplace or equivalent – relevant training will be provided.
  • Must be able to use Microsoft Office tools (Outlook, Word, Excel, PowerPoint) – essential.
  • Clear and concise communication approach, both oral and written, at multiple levels – essential.

Job description

To support the Senior Project Administrator in the project administration & coordination of the CA02 site-based Construction Function. Key Objectives Project Delivery Assist the Senior Project Administrator in the:

Responsibilities
  • Provision of support services to the PTC Construction team
  • Management of monthly reporting requirements, facilitation of management meetings, upkeep of visual management boards, maintaining records, support to document control, support to management of training activities
  • Booking visitors/contractors into NSPA
  • Booking of deliveries onto site & CTS liaison
  • Maintaining site records (site diaries, PLOD, PLOW, meeting minutes)
  • Primary point of contact with DCC to facilitate comment capture and subsequent dissemination
  • Organise site inductions
  • Assist with PTC Training Requirements
  • Access Meridian to obtain information and upload updates
  • Assist in the printing of safety and quality documents (SSOW's etc)
  • Set up business integral processes allowing key interfaces to share information across the Framework
  • Maintain and promote high personal standards in environment, safety, health, security and quality and be a great team player
  • Co‑ordinate and control all visits to site using the AWE Visitors Management System
  • Submit New Hires and co‑ordinate AWE site pass management including concessions
  • Undertake general administration duties in support of all NSG staff
  • Manage the AWE ITRAC system on behalf of NSG
  • Provide support to the Document Control Service (DCS) to cover absence and peaks in workload
  • Ensure all necessary security requirements are established for NSG new starters and sub‑contractors
  • Co‑ordinate submission of yearly Security Appraisal forms for all NSG personnel
  • Co‑ordinate yearly AWE site pass re‑validation for all NSG personnel
  • Monitor security clearance status for all NSG personnel and submit relevant documentation in a timely manner
  • Co‑ordinate and control training for site based personnel and ensure training compliance for all NSG personnel and sub‑contractors
  • Manage and upkeep of the NSG site training database/matrix for all NSG personnel and sub‑contractors
  • Manage and upkeep of the AWE Minerva Learning Management System for all NSG personnel and sub‑contractors
  • Arrange for new starters to attend AWE Induction
  • HR liaison with Head Office
Qualifications
  • Good standard of education to include English and Maths at GCSE or equivalent – essential
  • Graduate level qualification or demonstrable equivalent experience – desirable
  • Level 2 Health & Safety in the Workplace or equivalent – relevant training will be provided if required
  • Evidence of technical or teamwork experience in a business setting – essential
  • Knowledge of the project lifecycle – desirable
  • Experience of working within a highly regulated environment – desirable
  • Familiar with structuring and presentation of own work – desirable
  • Used to dealing with confidential and commercial information – desirable
  • Familiar with QSHEW operating procedures and requirements – desirable
  • Must be able to use Microsoft Office tools (Outlook, Word, Excel, PowerPoint) – essential
  • Read, analyse and interpret charts, spreadsheets, schedules and (in some business areas) technical drawings – essential
  • Clear and concise communication approach, both oral and written, at multiple levels – essential
  • Effective multi‑task working, identify and manage priorities and work to challenging timescales – essential
  • Possess good listening skills enabling requests to be assimilated and converted into action plans – essential
  • Ability to communicate with a wide range of colleagues at all levels and with external stakeholders and contractors – desirable
