Job description

Thisentrepreneur/HNWI who has many different business ventures and personal interests in seeking an experienced Personal Assistant. It will require someone who has supported a HNW Principal predominantly on the private side, with experience of working across multiple time zones and having had a complex and fast paced role previously. The role will incorporate the following responsibilities:

  • Complex diary management across multiple time zones for both business and personal schedules with strong attention to detail; including scheduling meetings and calls, adding all relevant correspondences, notes, and context to appointments
  • Email management
  • Organising travel itineraries; flights, transfers, accommodation for both business and personal trips and systemically adding them with the pertinent details into calendar invites
  • Organising the logistics for wire calls with banks
  • Keeping the daily To Do List up to date and accurate at all times
  • Acting as gatekeeper/point of contact
  • Managing key rolodex Excel spreadsheet
  • Managing all expenses (on an Excel spreadsheet)
  • Assisting with management of private property and liaising with household staff
  • Handling household bills, car MOTs and services, property insurance renewals etc
  • Being on top of important annual calendar dates (e.g. birthdays, anniversaries etc)
  • Tracking all important documents, ensuring all are up to date (e.g. passport, driving licence, etc). and providing quick access to principal when asked
  • Booking all personal appointments; dentist, doctors, restaurant reservations etc.
  • Organising events (e.g. private dinners, family parties, weekend trips)
  • Creating and maintaining a filing/archiving system for personal paperwork
  • Sourcing gifts for friends, family and staff
  • Constantly monitoring systems and procedures to assess efficiency
  • Occasionally taking minutes in meetings and compiling action points

This role will require someone who has solid experience of the above responsibilities. The Principal is looking for longevity on a CV and he is looking for someone to stay with him for the long term. It will require someone calm, efficient, bright, accurate, and emotionally intelligent. Whilst the Principal has exceptionally high standards and requires outstanding attention to detail, he is a calm, considerate and fair boss who will invest in the person in the long term.
