Executive Assistant – Paris

We are looking for an Executive Assistant who will provide high-level administrative and organizational support to the people while handling day-to-day employee administration.

The ideal candidate is proactive, people-oriented, and passionate about making people happy at work by ensuring smooth communication, efficient processes, and a positive work environment.

Key Responsibilities
Internal Communication & HR Support
  • Serve as the first point of contact for employees regarding administrative questions.
  • Distribute internal communications (memos, HR updates, company announcements).
  • Support HR initiatives, including training, performance reviews, and health & safety programs.
  • Contribute to maintaining a positive workplace culture and employee engagement.
  • Welcome and host guests in the office.
Administrative & Executive Support
  • Draft and prepare letters, reports, minutes, and presentations.
  • Assist accounting with bookings, client communications, and control tasks.
Employee Administration
  • Track absences, leave, sick days, and medical check-ups.
  • Manage onboarding and offboarding processes, including welcoming new employees, integrating them into the team, and handling exit documentation.
Office & General Administrative Support
  • Manage office supplies and vendor relationships.
  • Organize internal events, including team meetings, staff gatherings, and company celebrations.
  • Assist in tracking and managing administrative budgets.
Required Skills and Competencies
Technical Skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Basic knowledge of HR administration.
  • Excellent written and verbal communication skills (English and French).

Education and Experience
