Executive Assistant – Paris
We are looking for an Executive Assistant who will provide high-level administrative and organizational support to the people while handling day-to-day employee administration.
The ideal candidate is proactive, people-oriented, and passionate about making people happy at work by ensuring smooth communication, efficient processes, and a positive work environment.
Key Responsibilities
Internal Communication & HR Support
- Serve as the first point of contact for employees regarding administrative questions.
- Distribute internal communications (memos, HR updates, company announcements).
- Support HR initiatives, including training, performance reviews, and health & safety programs.
- Contribute to maintaining a positive workplace culture and employee engagement.
- Welcome and host guests in the office.
Administrative & Executive Support
- Draft and prepare letters, reports, minutes, and presentations.
- Assist accounting with bookings, client communications, and control tasks.
Employee Administration
- Track absences, leave, sick days, and medical check-ups.
- Manage onboarding and offboarding processes, including welcoming new employees, integrating them into the team, and handling exit documentation.
Office & General Administrative Support
- Manage office supplies and vendor relationships.
- Organize internal events, including team meetings, staff gatherings, and company celebrations.
- Assist in tracking and managing administrative budgets.
Required Skills and Competencies
Technical Skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Basic knowledge of HR administration.
- Excellent written and verbal communication skills (English and French).

Education and Experience
- Bachelor’s degree (or equivalent) in Business Administration or Human Resources.
- 2–5 years of experience in a similar role, ideally within an SME.
- Part-time candidates, including students nearing the end of their studies, are also welcome.
