A leading consulting firm in Madrid seeks an Executive Assistant to provide high-level support for partners in a dynamic environment. The ideal candidate will be bilingual in English and Spanish, possess strong organizational skills, and have a proactive approach to managing tasks and priorities. Key responsibilities include managing calendars, coordinating travel, and assisting with financial tasks. This role offers the opportunity to work in a collaborative and fast-paced setting.

Formación

  • Minimum 2-4 years of experience in a similar role, reporting to top management.
  • Experience in a professional services international environment.
  • Strong organizational skills encompassing affinity with IT supporting tools.

What You\'ll Do

Activities may vary depending on the individuals supported and the existing workload, and support assignments may change at any time.

Provide high-level executive support for assigned partners and other BCG departments as required:

  • Agenda and travel coordination: Maintain Partner’s calendar; schedule, coordinate and confirm appointments, interviews and meetings, anticipating problems in advance; make complicated travel arrangements
  • Communication: Answer and screen telephone calls and take messages; type correspondence, proposals, reports and other documents; establish and maintain necessary filing systems for assigned Partners; client contacts over phone and e-mail; setting up meetings; status follow-up; building relationships; maintain client- and other mailing lists in close coordination with the Marketing department; contacts with outside vendors as appropriate, being able to negotiate prices and proposing best options
  • Organize and attend meetings and conferences as appropriate: Scheduling participants; booking meeting rooms; arranging for special equipment and meeting room set-up; ordering and setting up beverages and/or meals; capable of organizing the event from beginning to end with the support of local departments involved
  • Budget and invoice assistance: Assist with invoices and billing; assist with budget tracking and other financial follow-up
  • Team contribution: Coordinate and cooperate with other EAs to ensure that work is completed to highest standard and quality; support and back up other members of the EA team; mentor and support new members of the EA team; interaction with other functions within own local office, as well as the larger BCG community
  • Participate in internal projects and committees as assigned or requested
  • Will help partners in personal administrative work/logistics if requested
What You\'ll Bring

BASIC JOB REQUIREMENTS:

  • Fluent English/Spanish, oral and written, other languages valued
  • University degree, or equivalent relevant experience
  • Minimum 2-4 years of work experience in similar role, reporting to top management
  • Experience from professional services international environment
  • Knowledge of BCG processes and systems a plus
  • Strong organizational skills encompassing affinity with IT supporting tools
  • PowerPoint and Excel skills
  • Good knowledge of other Microsoft Office programs
  • Ability to combine hands-on attitude in operational topics and good analytical skills

Working as part of a team, provide high-level executive and general office support in a demanding, fast-paced professional services environment. The primary goals are to leverage the Partners’ time, support the broader team, and successfully serve BCG’s clients.
