You will be the first person our visitors meet when entering our building and so it is important for us to find a friendly and organised individual who can manage multiple tasks while remaining calm with a positive customer approach.The hours are core business hours, covering office hours 9am - 5pm Monday to Friday.**Your key responsibilities will include**:- Serving visitors by greeting, welcoming, directing and announcing them appropriately.- Answering, screening and forwarding incoming phone calls while providing basic information when needed, and maintaining confidentiality.- Receiving and sorting daily mail, deliveries and courier packages by tracking, logging and dispatching as required in compliance with company standard operating procedures. Ensure that all outgoing post is monitored and stamped appropriately.- Maintaining security by following procedures and controlling access to include monitoring visitor's log and issuing visitor badges.- Ensuring full operating function of the reception area, reporting repairs needed as appropriate, in addition to maintaining the area in a clean and tidy state.- Management and distribution of inbound faxes through the main incoming fax line.- Monitoring and responding to customer requests through Facilities Online, ensuring timely response and resolution of issues in compliance with department metrics.- Assisting with the coordination of other essential central services such as maintenance, catering, taxis, florists and the ordering, tracking and receiving of office supplies.- Supporting other GBS functions at a local level, including Finance responsibilities such as invoice scanning and log completion where required.- Keeping management informed of any issues within the organization that require attention.- Assisting with additional facilities-related tasks and projects for the department as assigned.**What you need**:- Experience in a Receptionist/ Admin related role.- Strong customer services skills.- Strong organisational skills with the ability to multi task.- Proficient with Microsoft Office Suite.- Ability to be resourceful and proactive in dealing with issues that may arise.- Strong oral and written communication skills, with fluency in English and good attention to detail.- Strong interpersonal skills and ability to interact at all levels and across cultures.**Benefits of Working in ICON**:Our success depends on the quality of our people.
