About the Role

We are looking for a highly organized and proactive Office, Events & Travel Coordinator to become the heartbeat of our workplace. Your mission will be to ensure our team has a seamless daily experience, managing everything from corporate travel to engaging office events. Whether you bring hands-on administrative experience, training in event management, or are looking for a reliable part-time role for the long term—you want to hear from you.

Schedule & Location Setup:

Hours: Part-time role (25 to 30 hours per week).

Location: Minimum of 3 days a week at the office (with flexibility to come in on other days if physical presence is required for specific events).

Flexibility: Mandatory availability on Thursday afternoons. The rest of your schedule is highly flexible and can be adapted to mornings or afternoons (until 6:30 PM).

What You Will Do

As our Coordinator, you won't just be doing administrative tasks; you will be a key player in fostering our company culture.

Travel Management: Coordinate and book corporate travels, including flights, trains, accommodations, and transfers for our team members and executives.

Event Coordination: Help plan, set up, and execute internal and external events (team buildings, meetups, afterworks, company offsites). This is why your Thursday afternoon availability is key!

Office Management: Ensure our physical workspace is welcoming, fully stocked, and running smoothly. You will be the go-to person for office supplies, catering, and resolving day-to-day facilities issues.

Employee Experience: Assist with the onboarding logistics for new hires (welcome packs, desk setup) and help foster our vibrant company culture.

Vendor Communication: Liaise with travel agencies, event spaces, catering services, and office suppliers to negotiate and manage bookings and budgets.

What You Will Need

Experience: Open to diverse backgrounds. Whether you have previous administrative experience or have completed studies/training in Administration or Event Management, we want to meet you.

Organization & Detail: Exceptional organizational skills and a sharp eye for detail. You are someone who plans ahead, anticipates needs, and loves keeping things tidy.

Communication: Outstanding interpersonal and communication skills. You are approachable, positive, and ready to help.

Language: Fluent Spanish and a solid working level of English (B2) to comfortably manage bookings, vendor coordination, and team communications.

Nice to Have

Previous experience in administrative roles, front-desk, or event planning.
