To ensure every detail operates with precision and harmony, we are looking for our next Office Coordinator for the Retreat: an organized, proactive individual with a genuine passion for service.

Who are we looking for?

Someone who enjoys an operational and multifunctional role. As Office Coordinator, you will be the administrative backbone of the Retreat – making sure everything runs smoothly, from managing emails and phone calls to coordinating with different departments. If you love order, efficiency, teamwork, and anticipating needs, this position is for you.

Your responsibilities will include:
  • Managing the Retreat's email inbox, responding with warmth, accuracy, and promptness.
  • Handling and redirecting internal and guest phone calls and inquiries, ensuring clear and professional communication.
  • Overseeing daily operational needs, identifying issues and providing agile, effective solutions.
  • Coordinating closely with Retreat colleagues and other departments (Front Office, Guest Experience, Housekeeping, Engineering, F&B) to ensure a flawless guest experience.
  • Organizing and optimizing the team's operational logistics: task assignment, priority follow‑up, and internal communication.
  • Keeping records, databases, operational documents, and administrative materials up to date.
  • Anticipating departmental and team needs, acting as a key reference point and facilitator.
  • Supporting Retreat initiatives related to service quality, efficiency, and continuous improvement.

  • Natural, friendly, and professional communication skills – both written and verbal.
  • Previous experience in administration, team coordination, or operational roles (ideally in hospitality or service environments).
  • Strong ability to prioritize, organize, and manage multiple tasks efficiently.
  • Proactive mindset, problem‑solving attitude, and a passion for teamwork.
  • Solid level of English and Spanish.
  • A valid work permit for Spain.
