A global project management firm is seeking an Administrative Assistant for a 6-month temporary contract in Madrid. This role involves supporting office operations, managing front office tasks, and providing local IT assistance. Candidates should be fluent in English and Spanish, with experience in administrative roles and strong organizational skills. Formación

  • Fluent in English and Spanish.
  • Previous experience in an administrative, office support or similar role.
  • Ability to manage multiple administrative and operational tasks simultaneously.
  • Good organisational skills and attention to detail.
  • Comfortable working with IT tools and systems (e.g. D365 or similar).
  • Proactive, flexible and service-oriented mindset.
  • Strong communication skills in a professional environment.

Responsabilidades

  • Support daily operations and documentation maintenance.
  • Manage general front office operations.
  • Provide local IT support and inventory management.
  • Coordinate materials for new starters.
  • Handle business travel management.
  • Manage meeting rooms and access cards.
  • Order office supplies and manage inventory.
  • Register vendors on client platforms.
  • Support health and safety documentation.
  • Assist with supplier management in D365.
  • Provide general business support.

The role will support the Madrid office with daily administrative and operational activities, ensuring smooth office operations and proper documentation maintenance.

Key responsibilities
  • General front office and office daily operations.
  • Local IT support, including inventory management, new orders, CAPEX orders, Autopilot coordination, laptop configuration and refresh cycles.
  • Preparation of materials for new starters and coordination of their first working day, including welcome and IT induction.
  • Business travel management, including cost allocation and registration.
  • Space management: meeting rooms and access cards.
  • Office supplies inventory management and ordering.
  • Vendor registration on client platforms when required.
  • Support with health and safety documentation, HIVI materials, trainings and risk prevention information.
  • Supplier management in D365.
  • General business support.
