For individuals covered by the General Data Protection Regulation (GDPR), personal data is any information relating to an identified or identifiable natural person. For individuals not covered by GDPR, Velocity Global defines personal data as data that allows someone to identify or contact you, including, for example, your name, address, telephone number, e-mail address, government issued identification information, education information, payroll information, as well as any other non-public information about you that is associated with or linked to any of the foregoing data.
Information that we collect
Examples of personal information found in the context of recruitment include:
- CVs, application forms, diplomas and other information about courses
- information about availability, employment history and leave
- references and interview notes
- we may sometimes collect additional information from third parties including former employers, credit reference agencies or other background check agencies
- Information about criminal convictions
- photographs and video
- copy of ID/passport, nationality
- offer letters and Contracts
- other matters insofar as required by law
We may only use information relating to criminal convictions where the law allows us to do so. This will usually be where such processing is necessary to carry out our obligations and provided we do so in line with our [privacy standard OR data protection policy]. We use an external third party supplier to carry out background checks (including relevant criminal record disclosure checks) on our behalf. We envisage that we will hold information about criminal convictions.
Why do we use personal information?
We need all the categories of information in the list above primarily to allow us to perform recruitment and applications processes with you and to enable us to comply with legal obligations. In some cases we may use your personal information to pursue legitimate interests, provided your interests and fundamental rights do not override those interests. The situations in which we will process your personal information are listed below
Velocity Global collects and utilizes your personal data primarily to:
- Legitimately manage internal business interests and conduct proper personnel administration
- Assess your skills, qualifications, and suitability for the role
- Communicate with you about the recruitment process
- Carry out background and reference checks, where applicable
- Keep records related to our hiring processes and business activities
- Comply with legal or regulatory requirements.
Consequences of not providing personal data
If you fail to provide personal data which is necessary for Velocity Global to consider your application (such as evidence of qualifications or work history), we may not be able to process your application further. For example, if we require references for this role and you fail to provide us with relevant details, we will not be able to take your application further. In that case you will also be informed about the consequences associated with any refusal to provide this personal data.
Where do we collect the information from, and where do we pass it to?
As a general rule, Velocity Global collects personal information directly from you. If Velocity Global intends to obtain personal data about you from a third party, Velocity Global will inform you about this separately and in accordance with the applicable legislation and regulations.
In most circumstances where the personal information that we collect about you is held by a third party (i.e. a party other than the Allocated Client), we will obtain your permission before we seek out this information from such sources (for example, an employment reference). Where we work with third parties with whom we share personal information– such as agencies, benefit providers – we will take steps to ensure that such third parties have represented to us that they have the right to disclose your personal information to us and that they can vouch for the measures they have in place to protect it.

- Background checks system (Employment Screening Resources, ESR)
Transferring information outside the EU
We share information internally within our family of companies and with third parties for purposes described in this policy. Information collected within the European Economic Area (“EEA”) may be transferred to countries outside of the EEA. We utilize standard contract clauses approved by the European Commission, adopt other means under European Union law, and ensure there is a legal basis to process the personal data to legitimize data transfers from the EEA to the United States and other countries.
How is your personal information protected?
We are committed to ensuring that your personal data is secure. In order to prevent unauthorized access or disclosure, we have put in place appropriate technical and organizational measures to safeguard and secure the personal data we process. No system is 100% secure and your personal data cannot be guaranteed. If, despite all our efforts, a data breach does occur, we shall do everything in our power to limit the damage. In case of a data breach which is likely to result in a high risk, and depending on the circumstances, we will inform you about remedial actions to prevent any further damage. We always inform the relevant data controller, supervisory authority or authorities without undue delay.
How long is your personal information retained?
Except as otherwise permitted or required by applicable law or regulatory requirements, Velocity Global endeavours to retain your personal information only for as long as it believes is necessary to fulfil the purposes for which the information was collected. If your personal data is no longer relevant for the stated purposes, Velocity Global will take steps to remove it in accordance with our practices for data minimization. It is important that the information contained in our records is both accurate and current. If your personal information happens to change during the course of your employment, it is your responsibility to keep us informed of such changes.

Access to your personal information
You have access to your personal information through our online Application TrackingHR system. You may also request that your personal data be corrected, amended, not processed, or deleted by:
We require all our requests to be in writing. We will respond to your access request within a reasonable time,but no longer than 30 days. We may require additional information from you to allow us to confirm your identity and to review your personal data. After we’ve confirmed your relationship with us and have the proper authorization, we will provide you with information about whether we hold any of your personal data.
Right to withdraw consent
In the limited circumstances where you may have provided your consent to the collection, processing and transfer of your personal information for a specific purpose, you have the right to withdraw your consent for that specific processing at any time. Automated decision-making
