Key Responsibilities
  • Oversee daily administrative operations at the Oberhausen, Germany warehouse, ensuring an efficient and well-organized working environment.
  • Develop and maintain administrative policies, procedures, and best practices to enhance operational efficiency.
  • Manage office supplies, vendor relationships, facility maintenance, and procurement processes, ensuring full compliance with local regulations.
  • Provide administrative support to management and operational teams, including scheduling, coordination, and documentation.
  • Ensure adherence to German warehouse regulations, safety policies, and workplace standards.
Facility & Space Management
  • Manage and maintain office areas and ancillary facilities within the warehouse, coordinating routine repairs and improvement projects.
  • Collaborate with internal teams and external service providers to ensure facilities remain safe, clean, and fully operational.
  • Participate in warehouse space planning to optimize the office layout and enhance staff productivity and comfort.
  • Ensure all facility management activities comply with German building, health, and safety regulations.
Operational Efficiency & Process Improvement
  • Streamline warehouse administrative processes to improve overall operational efficiency.
  • Monitor and manage administrative budgets, expense reporting, and cost-control measures.
  • Facilitate cross-functional communication and collaboration on administrative matters between the warehouse team and global departments.
Communication & Documentation
  • Prepare, update, and maintain administrative guidelines, warehouse policies, and related reports in both Chinese and German.
  • Ensure effective and accurate communication within the warehouse, with global departments, and external partners.
  • Support documentation and reporting for daily warehouse operations and facility-related projects.
Qualifications & Requirements
  • Minimum 3 years of experience in office management, administration, or a related field; experience in a warehouse environment is preferred.
  • Familiarity with German warehouse/office regulations, safety standards, and administrative best practices.
  • Strong organizational, problem-solving, and stakeholder management skills.
  • Native-level Chinese and business proficiency in German are required; proficiency in English is a plus.
  • Proficient in common office software, with basic experience in budget management.
