As Executive Assistant & Office Services Manager for the DACH region, you’ll be the driving force behind a seamless office experience in Düsseldorf. Your responsibilities go far beyond coordination—you’ll organize internal and external meetings, workshops, and congresses, including communication with our valued Health Care Professionals (HCPs).

You’ll work closely with the General Manager, managing agendas and travel plans with precision. This role calls for someone who thrives on independence, can navigate diverse stakeholders, and enjoys the energy of a fast‑paced environment.

We are looking for a positive, personable & open‑minded collaborator to join our Team in Germany.

📍 The position will reside within our Terumo Neuro Entity in Düsseldorf, Germany.

What You’ll Do:
  • Drive Contract Management for office leases, healthcare professional (HCP) agreements, and other critical business arrangements.
  • Support Fleet Management to ensure smooth operations and cost efficiency.
  • Coordinate Educational Grants in close collaboration with cross‑functional teams.
  • Plan, execute and support Internal Workshops, Trainings, and Local Events, while assisting with logistics for congress participation involving internal and external stakeholders.
  • Provide Executive Support to the General Manager, including agenda planning and travel coordination.
  • Champion Compliance as the German entity's Compliance Officer, working closely with peers across our EMEA entities.
  • Serve as a Key Point of Contact, particularly for interactions with HCPs.
  • Oversee Front Desk and Administrative Activities, ensuring seamless day‑to‑day operations.
  • Maintain a Professional Office Environment, supervising maintenance and ensuring a welcoming, representative workspace.
  • Manage Vendor and Service Provider Relationships to guarantee quality and reliability.
  • Lead Special Projects and additional tasks as needed, contributing to strategic and operational excellence.

  • Proven Expertise: At least 8 years of experience in a dynamic, international environment.
  • Tech‑Savvy: Comfortable with MS Office tools (Word, Excel, Teams, Outlook) to keep things running smoothly.
