We are looking for a dedicated, responsible, and business-minded Executive Assistant to the CEO (m/f/d) who will support the Managing Director in all administrative, organizational, and operational tasks.
In addition to classic assistant duties, the role also includes real estate management, Airbnb administration, and support in our tech and training projects (YOLO & Mystro).
Areas of Responsibility
1. CEO Support
- Organizing and coordinating appointments, travel, and meetings
- Preparing documents, presentations, and analyses for strategic decisions
- Monitoring ongoing projects, deadlines, and contracts
- Communicating with internal teams, partners, and external stakeholders
- Managing and overseeing the existing real estate portfolio (residential and commercial properties)
- Coordinating rental contracts, utility costs, maintenance measures, and service providers
- Communicating with tenants, property management companies, and authorities
- Budget planning, invoice verification, and documentation
3. Airbnb Management
- Managing Airbnb apartments, including guest communication and booking management
- Organizing cleaning, check-in/out, maintenance, and key handovers
- Maintaining online listings, optimizing pricing, and monitoring occupancy
- Preparing monthly evaluations and performance reports
4. Support in SaaS and Training Projects
- Support for our software projects YOLO (E-Health SaaS)
- Communication with the product team, managing documentation, feedback handling, and scheduling
- Support for Mystro (training projects with the Job Center / Employment Agency)
- Coordinating exams, audit documents, and communication with authorities and internal departments
5. Organization & Administration
- Support with controlling, invoice management, and budget planning
- Maintenance and administration of digital tools (Excel, Notion, Google Workspace, Airbnb, etc.)
- Support with HR and onboarding processes
- Confidential handling of sensitive information and procedures
Requirements
- Completed commercial training or university degree in Management, Business Administration, or Real Estate Management
- Several years of experience as an Executive Assistant or Project Assistant
- Excellent organizational and communication skills
- Confident use of MS Office, Excel, and digital tools (Airbnb, Booking.com, Google Workspace)
- Fluent German (spoken and written), English skills are an advantage
